What You'll Do:
This position serves as administrative support for the drafting, sourcing and agreement management areas of Contracts & Monitoring. Under direction, independently, or as part of a team perform secretarial tasks, research, data entry, data tracking, using tracking management systems (i.e. database systems, Ohio Buys), prepares correspondence, track and obtain signatures of Executive Management at Ohio Department of Children and Youth. The individual will work closely with internal staff and external partners. In addition, this position is responsible for:
- Tracking signature authority (includes using obtaining electronic and wet signatures from internal management and external vendors and grantees).
- Update performance reports for agreements (includes aging tracking, outstanding logs, items not assigned).
- Managing and monitoring two email boxes (one internal and one external). Responding or Forwarding email to proper internal staff for response. Tracking outstanding and aged items in the boxes.
- Preparing management reports such as “to do” lists, aging reports, outstanding/non-completed item reports.
- Scheduling meetings with internal staff and external partners.
- Processing digital mail for Contracts & Monitoring unit.
- Attend meetings and take notes with managers in Contracts & Monitoring.
- Monitor main phone line for Contracts & Monitoring.
Hybrid Work Details
Subject to DCYs teleworking policy and an approved teleworking agreement, this position is eligible to work from a remote location on a hybrid basis. The selected applicant may be required to complete initial trainings prior to being eligible to telework. All requests to telework are reviewed on a case-by-case basis and must be approved by DCY’s Deputy Director of Human Resources and management, subject to the conditions outlined in the agency policy and teleworking agreement.
1 yr. training or 1 yr. experience in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 months training or 6 months experience in relevant technical terminology.

Unless required by legislation or union contract, starting salary will be the minimum salary of the Salary Range (27), Step (1), currently at $19.99 per hour associated with this position.
