- Works under general supervision & requires considerable knowledge of clerical functions & office procedures.
- Must obtain and maintain access to law enforcement systems/ databases. Uses Law Enforcement Automation Data Systems (LEADS) computer, National Crime Information Center (NCIC) computer, Ohio Court Network (OCN), Ohio Law Enforcement Gateway (OHLEG) & BCI&I terminal to locate & identify Ohio Parole, Probation, Furlough violators at large.
- Retrieves criminal histories NCIC, BCI&I, parole/furlough violator forms.
- Enters into LEADS & NCIC confidential criminal offense data & identifying information about offenders (e.g., address, date of birth, social security number, fingerprint code, alias, identifying marks such as scars & tattoos).
- Maintains secured files and conducts routine checks of entered data.
- Operates a motor vehicle to transport files and complete duties at offsite locations.
- Operates computer equipment & various web-based programs/software to create, compile reports, (re)produce, load &/or merge attachments involving complex technical, legal, statistical & confidential material (e.g. legal opinions orders from hearings, results of investigations, psychological evaluations, treatment plans, arrest reports, pre-sentence & post-sentence investigations, identifying information, final releases & all other parole & probation reports) from written copy or oral instructions; proofreads, copies & makes corrections.
- Assists in training &/or trains other employees in proper operation & function of equipment & programs, in solving problems/& or monitors systems by troubleshooting.
- Creates, enters & retrieves data/reports into computer system.
- Files &/or maintains distribution of correspondence & reports; searches files & retrieves material; creation of new files, hard copy and server folders, processes closed files.
- Answers routine requests & answers telephone calls
- Processes incoming & outgoing mail; receives & logs in material/office supplies.
- Types routine correspondence.
- Processes expungement requests.
- Attends training sessions; participates on committees & performs other related duties as requested.
- Maintains inventory and serves as backup for field services asset coordinator; schedules maintenance on office equipment; and other duties as assigned.
1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.
For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.
