Job Purpose:Reporting to the General Counsel, the Administrative Coordinator provides administrative support and assists with processes/functions related to Freedom of Information Act requests, the university’s policy repository, contracts and legal compliance, and Board of Trustees operations.
Job Summary:Contracts and Legal Compliance
- Coordinates contract review and legal case management across campus.
- Provides preliminary review of minor agreements.
- Trains the campus community on state contract standards.
- Maintains the campus contract repository.
- Ensures compliance with state records retention policies.
- Manages the legal database system and case files, including organizing exhibits, documents and evidence.
- Responsible for day-to-day BOT operations, including requests for tickets, accommodations, information and license plates.
- Monitors and tracks BOT attendance at on- and off-campus events.
- Coordinates with divisional offices to oversee Trustee invitations.
- Monitors compliance with annual state reporting requirements.
- Maintains BOT website and portal.
- Assists with specialized and confidential duties, including planning and preparing meeting materials, site setup and preparation of official documents and minutes.
- Notifies campus departments regarding BOT-related changes/updates.
- Manages the university’s FOIA process.
- Manages the university’s police repository.
- Works with campus divisions/departments on new policy development and implementation.
- Maintains General Counsel’s calendar and schedules and coordinates meetings.
- Prepares documents, reports and presentations.
- Reconciles the department’s budget.
- Handles travel requests and reimbursement in accordance with state regulations and Winthrop policy.
- Monitors deadlines.
- Manages electronic and paper files and records.
- Bachelor’s degree
- At least three years of relevant experience.
- Proficiency with Microsoft Office.
- Professional experience in higher education.
- Experience with electronic document management systems, preferably Legal Files.
- Knowledge of office protocol and best practices.
- Advanced word processing skills and sufficient technical ability to master software required to perform job duties efficiently and effectively.
- Exceptional interpersonal, organizational, and verbal and written communication skills.
- Proven ability to interact with people at all levels of an organization and establish and maintain effective working relationships with faculty, staff, administrators and the general public.
- Ability to exercise sound judgment and handle sensitive or confidential information with discretion.
- Ability to coordinate and prioritize diverse and complex administrative functions while remaining attentive to detail.
- Ability to work independently and as part of a team in a fast-paced office.
