Position Summary
The Business Support Administrative Coordinator is a highly skilled professional with a passion to help others. The BSA Coordinator, under minimal supervision, coordinates activities and/or provides administrative support for an area which requires an understanding of complex processes, data, and/or operations of a business; creates and/or maintains associated documents and databases, arranges/coordinates meetings, special events; provides detailed responses to requests for information; reviews and updates administrative procedures; prepares and files required metrics; and serves as front line support on varying tasks that will be critical to maintaining the day-to-day business needs and organizational strategy.
Essential Functions / Key Accountabilities
- Successfully initiate and manage varying projects focused on optimizing the internal day-to-day workflow and developing firm-related initiatives. Monitor all status updates and provide direction on priorities that need to be expedited.
- Prepare and monitor budget progress, process invoices and approvals, and organize complex and high volume internal expense reimbursements.
- Prepare monthly and quarterly reports and metrics across multiple departments, build Board of Directors presentations, handle internal and external correspondence.
- Create meeting agendas, develop communication plans, synchronize varying and complex schedules, and track all required attendees to ensure an efficient and successful execution of meetings.
- Prepare detailed meeting notes that summarize discussions, document decisions, and note action items to facilitate next steps on varying matters.
- Manage confidential and complex information and ensure that the sensitive nature of this information is not compromised.
- Proofread and edit prepared materials for grammar, spelling, punctuation, format, syntax, and content.
- Arrange complex and detailed travel plans, itineraries, and documentation for meetings involving travel.
- Generate ideas and manage firm events and leadership retreats including agenda creation, communications, budget preparation and management, venue selection and logistics management.
- Coordinate, manage, and uphold the integrity of the firm-wide calendar, overseeing the intricate scheduling of vital meetings, appointments, and events for key stakeholders.
- Successfully manage vendor relationships in order to coordinate services for high-level meetings such as catering, audiovisual equipment and event planning services.
- Partner with the recruiting team to support the preparation, organization and launch of the yearly summer program for law clerks and co-ops, including event planning and execution, schedule management, and internal/external communication.
- Provide administrative support for the recruiting and business development teams, including booking travel, hotel accommodations, dinner reservations, event support, and the like for incoming clients and candidates.
- Provide back-up for Front Desk Administrative Assistant.
- Perform related additional duties as required and assigned.
Education
Requires a High School Diploma with three (3) years of related experience, or equivalent combination of education and experience. Bachelor’s Degree preferred.
Qualifications
- A minimum of 3 years working in an administrative support role in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite.
- Ability to independently facilitate and manage projects.
- High technical competency.
- Ability to analyze and interpret data.
- Must be self-motivated and have strong initiative.
- Must have good communication skills and be highly organized to juggle multiple projects.
