We are seeking an Administrative Assistant to become a long-term part of our team and perform a variety of administrative and clerical tasks at our luxury property called Winding Cypress HOA. The right candidate will be extremely well organized, excellent at multi-tasking, have strong written & verbal communication skills, and hold their product level to a high standard. This position will require riding around the community in a golf cart ensuring residents are following the rules and regulations of the residents. We are seeking a candidate with a positive team attitude who has the ability to self-manage while meeting deadlines. The Administrative Assistant reports to the General Manager for additional duties and reviews.
Applicant must be detail-oriented, motivated, hardworking and an enthusiastic individual to perform a variety of office tasks.
Responsibilities:
- Assist in the preparation of regularly scheduled correspondence and reports
- Community Wide Notices: Meetings, BOD Agendas. Newsletters
- Community Violations: Batches and Single Occurrences
- State Filing Fees
- Annual & Budget Meeting Minutes
- Budget Approvals & Community Notices regarding Budget changes and Special Assessments
- Monitor, maintain, and replenish office supplies as needed
- Daily correspondence: inter-office and customers
- Miscellaneous typing, proof-reading, and document creation for other departments
- Write and distribute email, correspondence memos, letters, faxes and forms
- Create & Maintain Organized Filing procedures according to legal obligations
- Update and Maintain several directories simultaneously in an organized fashion
- Liaise with staff and management to handle deadlines for community notices, filings, minutes, etc.
- Assist with overflow from other departments in order to help the company reach deadlines
Qualifications:
- The ideal candidate is detailed oriented, must have good customer service and interpersonal skills, computer skills, and good working rapport with others.
- Proven experience as an administrative assistant (in an Association Management office is a plus)
- Working knowledge of office equipment, like printers and fax machine; ability to use the equipment for multiple purposes beyond copies.
- Proficiency in MS Office (MS Excel, Outlook, Access Database, Power Point)
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Familiarity with AppFolio is a plus, but not required
- Excellent written and verbal communication skills
- CAM license is a plus but not required.
- High School degree: additional qualification as an administrative assistant or Property Management Support will be a plus
Pay Rate $23-$24 per hour
Job Type: Full-time
Pay: $24.00 - $26.00 per hour
Expected hours: 40 per week
