The Administrative Assistant/Office Manager reports directly to the Chief Operative Officer, provides executive level support and oversees office administrative tasks and functions.
Essential Functions:- Provides high level support to the chief operating officer.
- Maintains complex, high volume calendar including travel logistics, internal and external meetings, coordinating conference rooms and prioritizing time.
- Manages information flow to and from the office with responsiveness and providing clarity
- Demonstrates leadership to maintain credibility, trust and support with all team members.
- Continually updates job knowledge by participating in educational opportunities.
- Manages the expenses of the COO.
- Maintains the highest level of confidentiality at all times.
- Provide administrative support for executive officer.
- Draft correspondence
- Proofreads and edits written material.
- Oversees special projects as requested.
- Ability to prioritize conflicting activities, work independently and meet deadlines while maintaining a high level of professionalism.
- Participates in Agency meetings to provide input as requested.
- Participates in Agency meetings to provide input as requested.
- Manages meetings under the COO as needed.
- Creates and maintains calendar.
- Develops draft agenda for review.
- Suggests agenda items.
- Distributes agenda with related materials.
- Records meeting minutes
- Archives all related meeting materials.
- Oversees and manages front desk operations and processes.
- Oversees and manages all functions related to office supplies.
Skills/Abilities:
- Expert in Microsoft Word, PowerPoint, Excel, Outlook
- Expert in Adobe Acrobat and all major social media platforms
- Expert in web based board portals
- Expert in administrative procedures and processes
- Possesses a high level of healthcare industry knowledge
- Able to accurately type 65 wpm or better
- Congenial, positive attitude and cooperative
- Highly organized, flexible, dependable
- Able to work under pressure and meet deadlines
- Able to sit for prolonged periods (usually at computer)
Education:
- Associates or higher
Experience:
- 7 plus years of current experience.
