The Town of Dedham seeks highly qualified candidates for the position of Administrative Assistant to performresponsible administrative, secretarial and record keeping work supporting the operations of the Youth Commission.
Minimum Qualifications:
Education and Experience
- High school diploma required, including, or supplemented by, training in office procedures, business and computer applications such as Word, Excel and PowerPoint
- A Bachelor’s Degree in accounting or related field is preferred but not required
- Three to five years of practical experience in the human service field; or an equivalent combination of education and experience
- Must receive an acceptable CORI/SORI report
- Must receive an acceptable fingerprint report
Knowledge, Ability and Skill
- Proficiency in the use of Microsoft Office (Word, Excel, and PowerPoint), Munis and willingness to learn new software programs as needed
- Possess a thorough knowledge of and familiarity with modern office equipment, technology, electronic equipment, and software applications and operations
- A demonstrated knowledge of general computer skills and on-line use
- A high degree of organizational and time management skills
- Ability to prioritize, multi-task, and handle diverse tasks
- Ability to understand written procedures, and understand complex, multi-step written and oral instructions
- Ability to work independently and as part of a team required
- Ability to take initiative, exercise sound judgment and make decisions within scope of his/her authority
- Ability to work independently with minimal supervision
- Available to work a flexible schedule, including some evenings and weekends
- Strong organizational and interpersonal skills
- Skills, including but not limited to bookkeeping, typing, filing and telephone skills
- High level of professionalism and the ability to maintain confidentiality
- Ability to relate and communicate in a positive manner and deal tactfully and appropriately with the general public and town departments
- Support the overall Youth Commission department’s mission, vision, and policies and procedures
- Ability to organize and maintain detailed and extensive records and prepare statistical and financial reports using Excel and MUNIS
- Ability to work effectively under time constraints to meet deadlines
- Excellent verbal and written communication skills
- Working knowledge of youth and familiarity with issues that youth face
- Knowledge of local, state, federal and private programs and services available to youth and their families
- Interest and ability in relating to youth and families
Essential Duties and Responsibilities
- Oversees the daily operations of the Youth Commission office; provides information to the public regarding activities of the Commission
- Assists local youth and families by putting those in need in contact with available staff members; identifies the service needs of those who contact the Youth Commission, either directly or indirectly; maintains a supportive atmosphere in the office for clients
- Prepares departmental correspondence; answers department telephone; maintains department records; maintains files and computer system. Assists in the preparation of the annual budget and implementation of programs
- Assists the team with programming as necessary
- Attends meetings of the Youth Commission Board; takes and transcribes minutes; prepares notification of meetings; prepares and distributes necessary materials
- Prepares departmental payroll; maintains departmental personnel records, recording sick and vacation time
- Assists in the preparation of grant applications; assists in research of sources of federal and state grants
- Performs other similar or related duties as required or as situations dictate
