Company Description: NAMI San Diego & Imperial Counties (National Alliance on Mental Illness) is a nonprofit organization that provides free education, support services, and advocacy to improve the quality of life of everyone affected by mental health conditions.
The PeerLINKS team provides life-changing, enhanced peer support services, which include case management, care coordination, education and more. All our participants are 18 years of age or older, have serious mental health challenges (SMI), and are not connected with treatment or community resources. The majority are also experiencing homelessness at the time of intake, have struggles with substance use, and may have involvement with the justice system. Our participants are referred to us by specific behavioral health units/hospitals, crisis homes and emergency rooms. Our team's approach is to meet our participants where they are in their recovery, as well as in the community; therefore, we meet all participants in the community rather than in the PeerLINKS office. This life-changing program is scheduled to end June 30th, 2024.
Primary Responsibilities/Function: Our Administrative Assistant will support our team with activities needed to successfully sunset our program. Primarily, this includes scanning documents (a key component of the position, as all remaining files need to be converted to electronic records prior to program ending), organizing our electronic files, data entry, reviewing and updating our inventory.
This temporary position will be in-person at our PeerLINKS Office, located in Mission Valley. Work hours are typically Monday through Friday, 8:00 a.m.-4:30 p.m. This temporary position is expected to end June 30th, 2024.
Duties and Responsibilities:
- Scanning documents,
- Organizing electronic files,
- Maintaining databases using MS Excel and mHOMS,
- Reviewing and maintaining records of inventory,
- Providing clerical and administrative support to the PeerLINKS team,
- Scheduling/receiving deliveries and visitors,
- Coordinating cancelation of services and prompt invoicing from vendors,
- Providing telephone coverage at front desk,
- Assisting Director and Administrative Support Associate with purchasing and documentation of expenses,
- Providing support to other teams in the Peer Services Department, as needed,
- Participating in meetings,
- Other duties as assigned.

Minimum Requirements, including linguistic and cultural skills, education, experiences, licenses and certifications:
- Intermediate to advanced knowledge of Excel, Word, SharePoint, Zoom, and web navigation.
- Able to communicate effectively verbally and in writing.
- Demonstrated ability to maintain confidentiality.
- Reliable and consistent attendance.
- Excellent interpersonal skills.
- Excellent attention to detail.
- Demonstrated ability to work with diverse populations.
- Experience working in a mental health setting preferred.
- Experience living with a behavioral health condition or supporting family/loved one with lived experience, preferred.
- Must have a satisfactory driving record.
