Job Description

Oppenheimer & Co. Inc’s Private Client Division is currently seeking a full time Temp to PermAdministrative Assistant to join our Midtown Branch office in New York City. The main responsibilities would include managing calendars, scheduling, prioritizing meetings, and having an extremely proactive mindset in order to stay steps ahead of business needs. We are looking for a team player with a great attitude. The role requires the individual to be in office 5 days a week.

Candidates should be effective and detail-oriented communicators.

Responsibilities:

  • Provide general administrative support, which includes but not limited to: create, maintain and edit documents, spreadsheets, files, and presentations
  • Calendar management utilizing Microsoft Outlook; must be flexible with last minute schedule changes and urgent meeting requests
  • Coordinate meetings, including ordering meals, arranging travel, meeting room preparation, invitations, etc.
  • Prioritize daily work, track progress of projects and deadlines, answer phones, take messages and schedule appointments
  • Demonstrate initiative and desire to increase knowledge of rules, regulations and concepts related to our business
  • Maintain a professional rapport with staff, co-workers, and clients
  • Facilitate visits from vendors, customers and key executives
  • Prepare expense reports
  • Perform special projects as assigned by the executives

Skills/Requirements:

  • More than one year of experience working as an Administrative Assistant in a corporate environment with great organizational skills
  • Bachelor’s Degree preferred but not required
  • Demonstrate strong accuracy and thoroughness in all facets of daily work
  • Able to interface and articulate well with all levels of employees and clients in a highly professional and friendly manner
  • Must be a team player with an energetic, positive disposition
  • Possess a high degree of proficiency with MS Office products including Word, Excel and Outlook
  • Able to meet designated deadlines and work effectively in a pressurized environment
  • Demonstrate the ability to handle multiple tasks with little or no supervision

Compensation

For job postings in New York City, Oppenheimer is required by law to include a reasonable estimate of the salary range for this role. This salary range is specific to the City of New York and takes into account the wide range of factors that are considered in making salary decisions including but not limited to your skills, qualifications, experience, licensure and certifications, and other business and organizational needs. The current base wage offered for this role is $24 - $27 per hour. Also, certain positions are eligible for additional forms of compensation such as discretionary bonus.
