Administrative Assistant - Training - Plant Farley
Summary of Position Duties
This Administrative Assistant position will provide support to the Training Manager and staff within the Training Department at Farley Nuclear Plant. The position will be responsible for administrative support including but not limited to:
Scanning hard copy records to produce electronic images using various software and verify scanned images to ensure acceptability as QA records
Index high volumes of records into Documentum (an electronic document management system) and import scanned document image content files
Interface with corporate and site employees on a daily basis to provide various types of customer service support
Update course material
Print and update guidelines and procedures
Modify organizational charts using Visio software
Schedule and track student course work in Plateau (course scheduling database)
Provide administrative support to the Instructors for modifications to the Nuclear Regulatory Commission (NRC) exams
Compile the instructor feedback provided by classroom participants
Compile expense reports and monitor timekeeping in Oracle
Order and maintain department supplies
Sort, open and deliver department mail
Collect data for updates to standard reports
Manage calendars, schedule meetings, make travel arrangements
Attach documents to TE's and CAR's in Maximo (QARC qualification)
Job Experience and Education
High school diploma or equivalent required
Minimum two years clerical experience required
Five (5) years in a secretarial/administrative support role preferred
Experience and good performance record in the area of document and/or information management or customer service type capacity is highly desirable
Knowledge, Skills & Abilities
High level working knowledge of Microsoft Windows, WORD and Outlook
High level working knowledge of Adobe Acrobat or other scanning software
Working knowledge of Documentum/ Webtop is desirable
Experience with handling multiple priorities, high volume workload, working in a fast paced and team atmosphere environment
Handling a high level of customer interface in person and over the telephone with a high degree of professionalism
Possess high level keyboarding skills proficiency
Possess effective written and oral communication skills
Possess excellent organizational skills and the ability to prioritize and handle multiple tasks simultaneously with a high degree of efficiency
Possess ability and desire to learn new computer software programs and be able to apply them

Other Requirements
Qualifying on the clerical pre-employment test is require
May be necessary to periodically work overtime, weekends, and possibly night shift during refueling outages
