Position Title: Administrative Assistant
Department: Program for Exceptional Children
Reports To: Program for Exceptional Children Department
Terms of Employment: 12 Months
SUMMARY:
Maintains due process files in keeping with current State Department of Education and federal guidelines. Maintains the Infinite Campus database and equipment log. Provides secretarial duties for the Program for Exceptional Children Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.
- Performs receptionist/clerical duties; answers telephone, types correspondence such as letters, memos, reports, forms, etc., for the special education department, and files student folders.
- Maintains an accurate student database in the computer which reflects services and documentation from due process files.
- Order, process, and maintain materials and equipment; type and receive all purchase orders for school.
- Maintain accurate files, balance and reconcile accounts.
- Assist in preparation of reports, e.g., quarterly financial statements of receipts and disbursements to be submitted to the central office.
- Receive and screens visitors and telephone calls, providing information which may require the use of judgment and interpretation of policies and procedures, take messages and route calls.
- Type using Word, PowerPoint, Excel, or various graphic programs.
- Perform clerical duties such as typing, proofreading, and sorting mail.
- Prepare and follow up on purchase orders.
- Prepare and distribute records, reports, correspondence, etc.
- Organize and participate in committees and school sponsored events.
- Completes the FTE count biannually and federal reports annually for special education funding.
- Assist with Medicaid billing.
- Assists teachers, parents, and school staff with placement information, and due process procedures and guidelines.
EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED) and related experience and/or training. 1-3 years of related experience preferred; or equivalent combination of education and experience as determined by the Board of Education.
