This role serves the team as a welcome ambassador, greeting and directing visitors, clients and consultants, scheduling important events and maintaining orderly documentation.

THE ADMINISTRATIVE ASSISTANT AT CPL
The Administrative Assistant operates as the welcoming first impression for visitors to the office. Reporting to X, you aid the team by maintaining office files and fielding questions from both internal and external sources. Your daily tasks include answering and screening phone calls; scheduling events, luncheons, celebrations and workshops; and preparing agendas for fellow team members. Known for your upbeat disposition and devotion to your duties, others frequently look to you for guidance, and your organizational capabilities are a credit to the entire team.
WHAT YOU BRING TO THE TABLE
- You have exceptional interpersonal skills, both verbally and via written communication
- You have a warm customer service disposition and are well-equipped to field questions from the public
- You’re proficient in Microsoft Office Suite and/or related programs
- You can function well in a fast-paced environment, providing assistance for projects which often required immediate turnaround
- You have sharp time management skills, emphasized by your proven track record of meeting deadlines
- You have a foundational understanding of commonplace clerical procedures and systems such as recordkeeping and filing
- You can work both independently and as a member of a team
- You have at least three (3) years of experience in an administrative role (A/E/C firm experience is a major plus!)
- An AS (or BS) in a related field is preferred, but not required
CORE DUTIES
- Answer and transfer phone calls, screening callers when necessary
- Welcome and direct visitors and clients
- Maintain reception area and all common areas in a clean and tidy manner at all times
- Manage all incoming/outgoing mail and packages via USPS, UPS, FedEx, Amazon, Intivity
- Coordinate and schedule travel, meetings and appointments
- Maintain office supplies
- Coordinate the maintenance of office equipment
- Maintain filing systems as assigned
- Retrieve requested data from records, emails, minutes and other sources, subsequently preparing written data summaries
- Respond to and resolve administrative inquiries and questions
- Assist multiple project teams with preparation of construction specifications and processing of construction project documents, including contracts, submittals, requests for information (RFIs), change orders, and close out/bid documents
- Prepare letters, documents, reports and contracts under the supervision of the leadership team
- Other duties as assigned
