The Administrative Assistant serves as the face of our company and provides administrative and general office support.
Job duties would include but are not limited to: answering phone calls and directing to the related party, scheduling and planning meetings, maintaining office supply inventory, planning office events, accounts receivable, invoicing, fleet management and other administrative duties as assigned.

Primary Functions and Responsibilities:
- Provides general support to our staff and principals to ensure efficient operation of office.
- Managing the reception area and break room to ensure a clean and professional image
- Answering and directing incoming phone calls, scheduling meetings and supports visitors.
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Making travel arrangements for senior staff such as booking flights, cars, and hotel reservations
- Invoicing
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Accounts receivable
- Serving as the point person for maintenance, utilities, mail, courier, shopping, supplies, equipment, and errands
- Supports team by performing tasks related to organization and strong communication
- Coordinating office staff activities
- Maintaining company fleet of vehicles
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Clerical and administrative responsibilities and tasks
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Maintaining office printer/scanner
- Ability to occasionally lift office products and supplies, up to 20 pounds.
- All other tasks as assigned by the supervisors.
Schedule:
- Monday thru Thursday 7:30am to 5:30pm
- Friday - 8am to Noon
Experience:
- Microsoft Office: 1-3 years (Prefered)
- Customer Service: 1-3 years (Preferred)
