THE POSITIONWe are searching for an Administrative Assistant to play a crucial role in ensuring a smooth and efficient operation for the business. They will be responsible for a variety of administrative tasks, including managing bookings, interacting with clients, handling inquiries, and supporting the company’s day-to-day operations. The Administrative Assistant’s expertise in destination exploration and their ability to curate exceptional journeys will play a pivotal role in shaping our customers' travel adventures.
TASKS & RESPONSIBILITIES
- Administrative Tasks - Manage schedules, coordinate meetings, and handle administrative duties for the agency staff. Maintain a customer database, track client preferences, and ensure data security and privacy compliance.
- Create Travel Experiences - Conducting comprehensive research and craft innovative travel itineraries to ensure our clients have unique and unforgettable travel experiences.
- Booking Management - Assist clients with flight, hotel, and car rental bookings. Verify availability, provide options, and confirm reservations. Send booking confirmations and updates to clients.
- Customer Service - Connect with clients via email, phone (including Google Meet), and in-person, providing information and travel advice. Offer recommendations and personalized itineraries based on client preferences. Handle customer feedback and address concerns professionally.
- Travel Document Assistance - Assist clients in obtaining necessary travel documents such as passports, visas, and travel insurance. Provide information on vaccination requirements and local customs regulations.
- Payment Processing - Process client payments securely, including credit card transactions and refunds. Maintain accurate records of financial transactions.
- Itinerary Management - Create, update, and share detailed travel itineraries with clients, including flight details, accommodation information, and activity schedules.
- Notification and Reminders - Send notifications for upcoming trips, check-in reminders, and weather updates for travel destinations.
- Expense Tracking - Assist clients in tracking their travel expenses and provide expenditure reports.
- Travel Alerts - Provide real-time travel alerts and updates, including flight delays, cancellations, and safety advisories.
- Other duties as assigned.
Core Skills
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Extremely organized and deadline driven.
- Self-starter: desire to take on projects without being asked.
- Proficiency in Microsoft Office Suite, specifically Excel and Word.
- Proficiency in Shopify a plus
- Proficiency in Canva a plus.
- Familiarity with visa and passport application process is a plus.
Qualifications:
- Washington State resident.
- High school education or equivalent.
- Two to four years of experience in an administrative role.
- Experience with travel a plus but not required.
- Experience working remotely.
Physical Demands and Work Environment:
- Regularly required to stand; walk; sit; crouch; use hands and arms to finger, handle, feel, or carry; reach with hands and arms.
- Walk and drive, safely and alertly for extended periods.
- Occasionally required to lift up to 10 lbs. and up to 25 lbs.
Schedule/Hours:
- 9:00 am - 5:00 pm Pacific Time Zone, Monday through Friday
- Full-time, Remote
Compensation and Pay Status:
- $18.75 per hour, non exempt. Negotiable depending on experience.
- Medical insurance after 90 days
- PTO after two years
