Administrative Assistant Position(Full time, non-exempt, on-site position)
Pay Rate: $24 - $25 per hour
Responsibilities:
- Assures the community is a friendly, welcoming and comfortable place for residents.
- Answers phones and greets guests and assists with vacancy and occupancy rates by preparing, advertising touring and renting units.
- General clerical duties, including photocopying, scanning, filing, creating binders and report materials, and assisting with mailings.
- Assists in the preparation of regularly scheduled reports such as operating statements, setting up new vendors, and compliance monitoring.
- Maintains several client databases, including vendors, insurance brokers/companies, licenses, referral lists, and contracts
- Assist with office organization and office equipment maintenance.
- Prepare and modify Property Management specific correspondence.
- Manage and develop filing systems.
- Track yearly inspections for individual properties using Yardi Software.
- Assist with decorating for onsite holidays and celebrations.
- Assist with special projects as needed.
Required:
- High school diploma or GED equivalent required. Prior experience in an administrative role in Property Management /real estate or similar, required.
- 3-5 years of administrative experience required.
- Microsoft Office proficiency required.
- Proficiency in technology applications (ex. cloud storage, electronic file systems)
- Strong business acumen and knowledge of business and management principles.
