Chore Service is a nonprofit organization dedicated to positively impacting the community by providing essential in-home, non-medical assistance to older adults and people with disabilities so they can remain safely and independently in their homes. Chore serves residents in Cornwall, Falls Village, Goshen, Kent, Litchfield, Morris, Norfolk, North Canaan, Roxbury, Salisbury, Sharon, Warren, and Washington.
Position Summary
As a new position, the Administrative Assistant will perform various administrative and clerical tasks. This role supports the Executive Director in assisting with daily office needs and managing the agency’s general administrative activities.
The Administrative Assistant must be able to commit to 20 hours per week on average and will report directly to the Executive Director.
Skills/Qualifications:
- Proven experience as an Administrative Assistant.
- Genuine commitment to improving the quality of life of those in need.
- Strong organizational skills with the ability to multi-task and prioritize daily workload.
- Knowledge of office management systems and procedures.
- Ability to work collaboratively with colleagues, board members, and volunteers and to be comfortable with diverse groups and individuals.
- Excellent written and verbal communication skills.
- Highly self-motivated and directed but also team-oriented.
- Attention to detail and problem-solving skills.
- Proficient with standard office equipment, including Microsoft Office Suite (particularly Word and Excel).
- Working knowledge of QuickBooks Online and DonorPerfect is helpful but not required.
- Valid driver’s license and reliable transportation.
Key Responsibilities:
- Provide administrative support to the Executive Director to ensure the office’s efficient and smooth day-to-day operation.
- Confidentially and discreetly handle sensitive information.
- Answer, handle, and direct phone calls.
- Collect and manage incoming and outgoing mail.
- Reply to email, mail, telephone, or in-person inquiries.
- Organize and schedule meetings and appointments.
- Assist in preparing regularly scheduled reports – including grant, town, and monthly funding reports.
- Review and organize worker timeslips for bi-weekly payroll.
- Prepare and mail monthly client invoices.
- Maintain computer and paper filing systems.
- Data entry, faxing, and ordering supplies.
- Develop and update administrative systems to make them more efficient.
- Assist with Committee/Board meeting preparation.
- Attend Committee/Board meetings as appropriate.
- Attend fundraising and community events as appropriate.
- Assist with special projects, events, staff training, and other general office tasks as needed or assigned by the Executive Director.
- Keep the Executive Director apprised of activities/concerns and issues as they arise.
