Job Description
Associa is currently looking for a Community Coordinator in Virginia. The Community Coordinator will be responsible for assisting in office activities and administrative tasks. Our Community Coordinators also provide customer service support and work closely with our Community Managers and association committees. This is a great role to enter the Association Management industry and provides growth opportunities within our organization.
How you will make an impact:
The Community Coordinator will provide primary support to the Wentworth Green Social Committee and handle all reservations, also provide support for Architectural Review and Covenants Control.
Daily responsibilities:
- Respond to site office phone calls, emails and walk-ins during site office business hours.
- Maintain Wentworth Green CA records and files for the site office.
- Maintain and operate office equipment for the site office.
- Oversee contractors when working for the Wentworth Green CA on site.
- On-site presence for emergencies, including being the primary contact for National Security, Prince William County Police, Fire and Sheriff.
- Process all requests for use of the Clubhouse. This includes maintaining the reservation book, giving tours of the Clubhouse, processing rental paperwork and payments. Coordinate rentals including open/close personnel and cleaning contractor.
- Establish and use systems to enable tracking or work in progress and plan for future activities.
- Coordinates and provides some writing and edits quarterly Wentworth Green newsletter.
- Write and initiate weekly email broadcast.
- Provide a weekly management report to the Board.
- Handle routine correspondences, memorandums, reports, and other business materials as directed by the Portfolio Manager.
- Attend board of Directors and committee meetings as needed.
- Monitor pool contractor and establish weekly cleaning regimen.
- Conduct daily drive by/walk throughs of the community to note any maintenance and architectural concerns.
- Other duties as assigned.
Requirements
- Able to perform on-site inspections of property.
- Able to oversee contractors working on the property.
- Able to use word processing and spreadsheet software, personal computers, and other office equipment.
