Feeling Moody LLC is actively looking to hire an experienced intake coordinator and virtual assistant with a desire to grow with us. We are expanding our program that provides outpatient video counseling services (and eventually in-person) to individuals in Virginia Beach and across Virginia.
As the intake coordinator and virtual assistant of our group practice, you will be the first point of contact with potential clients when they reach out for help. This position must be staffed by an individual who is trustworthy, organized and works well with people. Discretion and integrity are top priorities. The ideal candidate for this role must be customer service orientated with extremely strong attention to detail, and possess the aptitude to accurately screen potential client inquiries. The ideal candidate will bring operational excellence to our team. Experience in the area of Mental Health is a must.
Position Duties
- Accurately screen telephone calls and emails before scheduling a client consultation
- Persistently monitor all potential new client inquiries (email, internet, phone & referrals)
- Immediately contact every potential client & establish rapport with the client
- Continuously follow up with pending inquiries
- Regularly update logs and reporting systems to reflect the status of all potential new clients
- Conduct potential new client consultations with genuine empathy and compassion
- Take accurate notes during the client initial consultation
- Schedule appointments for potential clients with clinicians
- Work with the therapist to complete the initial consultation process
- Check client insurance benefits online
- Assist with insurance and billing tasks
- Complete ongoing marketing tasks such as email marketing, blogging, posting to social media, updating website pages, creating lead magnets, and more.
- Complete ongoing and one-time administrative and human resources tasks
- Assist with other administrative tasks as needed
- 2 years of experience doing intake or other related administrative tasks preferably in the area of Mental Healthcare
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Professional attitude and appearance
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- Excellent organizational skills
- Proficiency with GSuite, Google Applications, Canva, and Zoom
- Starting at 15-20 hours per week with room to grow based on performance evaluations every 6 months

Salary: $15.00 - $20.00 per hour
