We are seeking an experienced Administrative Assistant to fulfill a client requirement in the healthcare sector. This is a critical role that ensures the smooth operation of administrative processes vital to maintaining regulatory compliance and ensuring the safety and well-being of residents.
Job Description: As an Administrative Assistant, you will be responsible for managing a variety of specialized duties crucial to the efficient operation of our client's facilities. You will work closely with regulatory compliance systems, databases, and reporting tools to facilitate seamless communication and documentation processes. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to prioritize tasks effectively.
- Manage presurvey packets, FOILs (Freedom of Information Law requests), waivers tracking, facility roster database maintenance, mortality database input, and incident report tracking for mandatory reporting purposes.
- Utilize ASPEN and ACO systems for surveillance reports, complaint tracking, posting Statements of Deficiency (SODs), and preparing letters for surveillance activities.
- Handle CMS uploads, QIES Casper presurvey reports, Life Safety Code reports, and monitoring 2803d abuse cases.
- Track CAN (Certified Nurse Assistant) training programs, assist in emergency response coordination, and handle information requests from facilities.
- Prepare various types of letters including survey notifications, complaint responses, and Plan of Correction (POC) submissions.
- Maintain up-to-date program information on boards, logbooks, and within relevant databases.
Qualifications:
- Previous experience in administrative roles, preferably within the healthcare or regulatory compliance field.
- Proficiency in utilizing various software systems including ASPEN, ACO, HCS, and QIES Casper.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently with minimal supervision and collaborate effectively within a team environment.
