Job Description
The Administrative Assistant follows established procedures and guidelines to provide timely and effective office support to an office, business unit, department, or other organization. Answers the front door so visitors are attended to promptly, courteously, and accurately. The Administrative Assistant performs varied activities and moderately complex administrative/operational/office support assignments. Performs computations. Typically works on semi-routine assignments Monday - Friday, 7:30am - 4:00pm.
Responsibilities:
The Administrative Assistant works within defined parameters to identify work expectations and quality standards, but has some latitude over prioritization/timing, and works under minimal direction. Decisions are typically focus on interpretation of area/department policy and methods for completing assignments. Will support the day-to-day business functions for the team and staff in the South Elgin headquarters.
- Coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.
- Manages the appointments and schedules of applicable staff.
- Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.
- Performs time sensitive tasks in fast paced environment.
- Maintains vending machine and inventory, and small amounts of cash.
May also perform the following:
- Transcribes, types, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics, and spreadsheet software.
- Uses office equipment such as photocopiers, and printers. Additional responsibilities include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.
Required Qualifications:
- Minimum 3-4 recent years working knowledge using Microsoft Office Suite such as Word, Excel, PowerPoint, Outlook
- Adaptable with new system integration platforms, and able to troubleshoot and resolve basic technical difficulties
- Strong organization and attention to detail
- Capable of working around interruptions throughout the day.
- Capacity to maintain confidentiality
- Develop and maintain strong professional relationships
- Ability to balance multiple initiatives including prioritizing competing projects
- Must be passionate about contributing to a manufacturing area/organization focused on continuously improving consumer experiences
- Physically able to lift minimum 25 lbs.
Preferred Qualifications
- Minimum High School or GED
- Intermediate or Advanced use of Microsoft Excel and Access
Current or former experience as an Administrative Assistant which may include any of the following experience:
- Managing office supplies,
- Scheduling meetings, luncheons & travel arrangements
- Organizing Outlook emails, filing and some basic responses
- Internet research and proof-reading/editing
