Administrative Assistant to Owner

As we continue to expand, we are seeking a highly organized and proactive Executive Assistant to provide day-to-day and personal support to the CEO of the Tax Strategy division, Jacqueline (“Jackie”) Williams, so that we can build efficiencies, free up space to innovate and provide exceptional tax planning and documentation to more small business owners.

Our family of companies has found success with entertaining job ads, which have previously referenced concepts from the movie The Devil Wears Prada.

While Jackie is generally more nurturing and mentoring than Miranda in “The Devil Wears Prada,” she is similar to that character in that she takes pride in her work and the work performed by the firm. (So…more like Nigel, and maybe mix in some Emily.)

Less importantly, you will see fantastic fashion and learn a lot about one of Jackie's passions, which inspires her to build a business that supports her family. Jackie excels at helping small business owners keep more of their own profits to pay for their passions. You will also understand that Jackie has a creative mind and needs the support of an assistant with a highly organized brain.

By bringing and building perseverance and resilience to this role, you will complement her values and expectations of high-quality results. While she enjoys providing mentorship, she also expects her team members to be accountable individuals who take pride in their work.

Compensation:

$34,500 - $55,000 yearly

Responsibilities:
  • Manage executive calendars with precision, including block calendaring and coordination of appointments, meetings, and travel arrangements
  • Provide initial responses to emails and escalate as necessary, demonstrating a thorough understanding of executive preferences and priorities
  • Act as a gatekeeper for the executive's time, maintaining boundaries and protecting their calendar and sanity
  • Facilitate meetings by compiling agendas, taking detailed notes, and ensuring follow-up on action items
  • Anticipate needs and think three to four steps ahead, identifying opportunities and solutions to problems before they arise
  • Coordinate with domestic employees such as nannies and housekeepers to schedule meetings and communicate effectively in the executive's absence
  • Manage travel arrangements with meticulous attention to detail, including booking flights, accommodations, and transportation, and ensuring all necessary arrangements are made and communicated on the calendar with explicit detail, alleviating the executive from remembering logistical details
  • Manage executive calendar, including scheduling meetings, appointments, and travel arrangements
  • Coordinate and prioritize incoming requests and correspondence, ensuring timely responses
  • Prepare and edit documents, presentations, and reports for executive review
  • Conduct research and gather information to support decision-making processes
  • Serve as a liaison between executives, departments, and external stakeholders
  • Plan and coordinate meetings, events, and conferences, both onsite and offsite
  • Maintain confidentiality and discretion when handling sensitive information
  • Assist with special projects and initiatives as assigned
Qualifications:
  • Bachelor's degree or equivalent experience preferred
  • Proven experience as an executive assistant or similar role
  • Exceptional organizational and time management skills
  • Strong attention to detail and accuracy
  • Excellent communication and interpersonal abilities
  • Proficiency in Google Suite (Gmail, Google Drive, Sheets, Docs, and Slides) and MS Suite.
  • Ability to prioritize tasks and manage multiple deadlines
  • Discretion and professionalism when dealing with confidential information
  • Flexibility and adaptability in a fast-paced environment
  • Must reside in Erie, PA, or the surrounding area within reasonable commuting distance
