We are seeking a highly organized professional for an Administrative Assistant position in our Trusts and Estates practice group.
The ideal candidate must be a self-starter who is detail-oriented, be capable of multi-tasking, and be willing to work in a demanding and fast-paced environment. Outstanding organizational skills, proficient computer and internet research skills, the ability to follow detailed instructions and procedures, and exceptional communication skills are a must for this role.
Job Duties
- Filing and file maintenance of physical and electronic records;
- Preparation of files for client meetings;
- Index and assemble organizational binders;
- Assist with business development activities;
- Calendar and schedule appointments and meetings;
- Track and keep record of representation and fee agreements;
- Communicate with clients via mail, email and telephone;
- Provide administrative and clerical support as needed, such as handling, copying and scanning requests, printing documents, creating files, obtaining directions, and making reservations and travel arrangements; and
- Other duties as assigned
- Ability to work overtime when needed
Knowledge, Skills and Qualifications
- High School Diploma, required, Bachelor's Degree, desired
- 2+ years of prior experience in a law firm or legal department, desired
- Superior verbal and written communication skills
- Must be a self-starter with superior organizational skills and the ability to manage multiple assignments independently
- Ability to interface with clients and vendors
- Must be detail oriented
- Ability to problem solve and work with a variety of personalities and work styles
- Ability and willingness to think outside the box to develop solutions to challenging situations
- Proficient with Office 365, NetDocs, IManage or similar document management program, FoxIt Pro
- Strong Excel experience
- Must be able to lift client files on a frequent basis and banker boxes on an infrequent basis

Salary Range is $60,000 - $65,000 annual base salary. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, and years of relevant experience,
