Job Description

NVE, Inc., is seeking an Administrative Assistant in support of an operations and maintenance (O&M) contract for our Bowie, Maryland facility. The Administrative Assistant shall be available on-site from 7:00am to 3:00 pm, Monday-Friday and at any other times required to effectively provide administrative support to the project manager as well as the GSA building manager and his staff. The Administrative Assistant is responsible for intake of service requests and entry into the Computerized Maintenance Management System (CMMS), receipt of service calls, dispatching technicians, daily administration of work requests and preventative maintenance tasks, customer interface and generation of reports.
Maximo CMMS experience preferred, but not required. Having an existing government background (HSPD-12) is highly desirable.
Essential Job Functions:
- Assist the Project Manager in all aspects of project implementation, as needed.
- Support the Project Manager with external contacts, as needed.
- Provide customer service support through answering phone and logging service requests to be addressed by NVE’s facilities team.
- Work in the CMMS, including receiving work requests, assigning work orders, entering data, and providing reports, as requested by the PM or GSA Building Manager.
- Set up, maintain, and organize department's central files, information, filing, and messages.
- Provide administrative support to the Facilities team.
- Support site activities as needed.
Knowledge:
- Microsoft Suite of products including Excel, Outlook, Word, Teams, and PowerPoint
- Building management and Facility and Maintenance operations knowledge is a plus.
- Maintenance management software is highly desirable (Maximo)

- Must have strong interpersonal skills and ability to work in a team environment.
- Responsibility for follow-up on actions based on various team projects.
- High organizational skills in managing multiple tasks simultaneously.
- Work independently without regular direct supervision.
- Must be a provider of excellent customer service.
