ROLE SUMMARY
FLUENT is seeking an Administrative Assistant to join our dynamic team, contributing to a positive and efficient work environment. We are in search of a polished, proactive, and energetic professional who excels in communication. The ideal candidate is a skilled problem-solver and a dedicated team player, demonstrating high initiative and a can-do attitude. Your impeccable professionalism shines as you engage with customers, employees, and external contacts both in person and over the phone. With a keen ability to anticipate issues, you operate with a sense of urgency when necessary. Additionally, your expertise in travel arrangements, coupled with the ability to make timely adjustments, showcases your efficiency and consideration for the broader impact on scheduling.
KEY RESPONSIBILITIES
- Perform general office and clerical duties to ensure the smooth operation of daily activities.
- Provide comprehensive administrative support to the Executive Management Team.
- Establish and maintain efficient filing systems for files and records.
- Coordinate and manage travel arrangements, including booking accommodations and scheduling meetings, with special attention to catering requests.
- Monitor and upkeep office equipment, manage inventory and order replacement supplies as required.
- Support with internal interview schedule and new employee onboarding.
- Greet and welcome visitors, handle incoming calls, and respond to inquiries via email and phone.
- Collaborate with the Directors of the various internal departments to offer additional support as needed.
- Manage travel itineraries, assist in Executive retreat planning, act as a liaison for property management, oversee executive expenses, and coordinate corporate housing scheduling and cleaning.

QUALIFICATIONS
- Prior experience as an office coordinator or Administrative Assistant.
- Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint, SharePoint).
- Excellent written and verbal communication skills.
- Associate/College degree in Business Administration or related field is a plus.
SKILLS / INTERESTS
- Must have reliable transportation and a valid driver’s license.

WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
