Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
The Administrative Assistant will play a crucial role in providing comprehensive administrative support to all levels of management, including external business partners. This position will be responsible for managing schedules, coordinating travel arrangements, processing business expenses, and organizing meetings and events. Additionally, the Administrative Assistant will oversee department financial operations, personnel operations, and facility operations. The successful candidate will also manage procurement activities and maintain vendor relationships. This role requires excellent organizational skills and the ability to handle multiple tasks simultaneously. The Administrative Assistant will also be expected to complete special projects as assigned.
Job Responsibilities:
- Manage schedules for all levels of management, including external business partners
- Coordinate travel arrangements for team members
- Process business expenses accurately and in a timely manner
- Coordinate meetings and events, ensuring all logistics are handled efficiently
- Oversee department financial operations, including budget tracking and expense forecasting
- Assist with personnel operations such as onboarding new employees and maintaining employee records
- Manage facility operations, ensuring a clean and organized work environment
- Procure goods and services including computer equipment, office supplies, and reference materials
- Maintain vendor relationships to ensure timely delivery of goods and services
- Provide general office support such as answering phone calls, responding to emails, and filing documents
- Serve as the main point of contact for the department or group
Qualifications:
- 5-7 years overall experience in the field is required
- Minimum 5 years of experience with calendar management
- Minimum 5 years of experience with expense reporting
- Ability to learn quickly
Additional Details:
- Location: Redmond, WA (Hybrid - Occasional Onsite required)
- Duration: 5 months
- Pay Range: $29-32.50 per hour
