La Jolla Music Society is one of the most prestigious and highly respected performing arts presenters in the United States. Our winter season presentations showcase a rich variety of classical, jazz, global roots, spoken word, family, and dance programming, at its state-of-the-art venue, The Conrad, as well as off-site venues throughout San Diego. In addition to our winter season and award-winning Learning & Engagement Programs, La Jolla Music Society also produces SummerFest, a renowned four-week chamber music festival featuring world-class artists and ensembles performing an array of concerts and programs curated by SummerFest Music Director, Inon Barnatan.
SUMMARY
La Jolla Music Society has operated its award-winning afterschool music program, the Community Music Center (CMC), for 25 years. Based in Logan Heights at the Logan Memorial Educational Campus (formerly Memorial Preparatory), the CMC provides free instruments and free group lessons four days per week to 130 students annually. The program is designed to increase students’ self-confidence and resilience, while providing a safe, equitable, and culturally responsive environment for studying and creating music.
The Community Music CenterAdministrative Assistant is the main point of contact for CMC families and students and facilitates external communication, maintains the databases and attendance records, and assists the Program Director with the purchase of supplies and instruments. The Administrative Assistant will complete administrative tasks from 3:15pm-6:15pm on Monday, Tuesday, and Wednesday and serve as an instructor from 3:45pm-5:45pm on Thursday from September-May.
JOB DESCRIPTION
- Assist Program Director with student registration and instrument assignment.
- Maintain student database and manage student attendance records. Show final records to Director of Learning & Engagement at the end of each school year.
- Distribute student surveys at the start and end of each school year as requested by the Director of Learning & Engagement.
- Maintain instrument inventory database and work with Program Director to replenish supplies and instruments as needed throughout the year. Update the Director of Learning & Engagement about current inventory at the start and end of each school year.
- Function as the main point of contact for parents and caregivers, establishing and maintaining clear channels of communication and tactfully resolving issues. This includes but is not limited to promptly answering emails and voicemails, returning phone calls, and reaching out to parents and caregivers to address minor issues.
- Assist Program Director each day to unlock classrooms, greet instructors and students, address supply needs, and provide general aid to instructors.
- Assist Program Director as Mariachi Ensemble Instructor one day per week (please note compensation will be $45 per hour when serving as an instructor).
- Step in as a substitute instructor on occasion when unplanned absences occur (please note compensation will be $45 per hour when serving as an instructor).
- Coordinate external communication efforts by generating content for marketing pieces and working with the Marketing Department to create recruitment materials and flyers.
- Assist with the planning, scheduling, and execution of two annual student recitals.
- Identify students eligible for graduation prior to each recital and create certificates of achievement. Work with Program Director to award new instruments to graduating students.
QUALIFICATIONS
- High School diploma or equivalent; college course work preferred.
- Fluency in both Spanish and English.
- Ability to read music with a background in performance and instruction.
- Strong written and verbal communication skills.
- Dedicated to Diversity, Equity, and Inclusion (DEI) practices.
- Strong computer skills with proficiency in Microsoft Office software, including Word and Excel.
- Valid driver’s license.
- Ability to lift to 30 lbs.
