The Administrative Assistant is responsible for supporting the team in their efforts to properly execute the activities of the Company while maintaining a professional, orderly, and efficient office environment.
Primary Responsibilities
- Answer phones, sort mail, handle office packages.
- Record Purchase Orders and receipt of goods and match to vendor invoices.
- Vendor invoice coding.
- Match receipts to credit card transactions and record proper coding.
- Onboarding new hires.
- Annual benefit open enrollment paperwork coordination.
- Time sheet review and vacation/PTO reconciling.
- Prepare certified payrolls for prevailing wage projects.
- Vehicle registrations/tags.
- Other administrative duties.
- Maintains strict confidentiality of all privileged information.
- Other duties as assigned.
Knowledge and Skill Requirements
- 4+ years of experience in similar role
- Proficient with Excel, Word, Outlook, Office 365, and SharePoint Online
- Experience using a Enterprise Resource Planning accounting system like Microsoft Dynamics SL and Business Central and an HR/Payroll software like ADP
- Work requires professional written and verbal communication and interpersonal skills.
- Experience in Construction or Oilfield Services preferred.
