Job Description
The Administrative Assistant will provide administrative support to the Architectural Review Board (ARB), Design and Development (D&D), and Accounting departments of Kiawah Partners (KP). This role involves a variety of tasks including but not limited to depositing fees and deposits, assisting with check requests, maintaining project files, and reconciling corporate credit cards. This position is FULL TIME and works regularly-scheduled hours between 8:30 am-5:00 pm. Key responsibilities by department are listed below.
ARB:
1. Deposit Fees and Deposits:
a. Compile fees and deposits.
b. Fill out fee and deposit templates.
c. Copy checks and deposit slips.
d. Drop off deposits to accounting.
e. Edit ARB Escrow Spreadsheet.
2. Assist with Check Requests.
3. Receive refund packets with check requests and enter them into Timberscan.
4. Mail out checks.
5. Update ARB Escrow Account spreadsheet.
6. Scan checks with associated letter and provide ARB with copies.
7. Move refund packets from Sharepoint to completed.
8. Send completed requests to Timberscan.
9. Update tracking spreadsheets.
10. Receive incoming ARB invoices.
11. Create check requests.
D&D:
1. General office monitoring - check mail, order supplies, stock pantry.
2. Prepare check requests and track impact on project budgets.
3. Maintain project files.
4. Assist team with communications as needed.
Accounting:
1. Reconcile corporate credit cards and prepare check requests.
2. Prepare check requests for utility bills (company-wide).
3. Scan audit schedules to be sent to external auditors.
4. Bind monthly financial report.
5. Enter contracts and invoices into development system.
Qualifications:
- Proven experience as an Administrative Assistant or similar role.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).
- Strong organizational and time management skills.
- Excellent communication skills, both verbal and written.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and accuracy.
- At least 2 years of administration experience preferred
- Strong data entry, accounting, and communication skills.
- Ability to sit up to 8 hours
- Ability to lift up to 15 lbs
- Additional qualifications in office administration or related field preferred.
