Administrative Assistant

Principle functions:

• Handle incoming calls and correspondence and respond independently as directed.
• Schedule private music lessons and group classes which includes reserving teaching rooms for the faculty members, organizing trial lessons and coordinating communication between faculty and students for first lessons.
• Coordinate school room usage schedule.
• Maintain a detailed knowledge of TBMA student policies and be prepared to answer questions independently for parents and students.
• Arrange programs, recitals, and other events including booking venues, equipment, caterer, or other arrangements as needed.
• Prepare enrollment packages for new students.
• Prepare and deliver monthly digital invoices to students.
• Produce and distribute all month-end accounts receivable reports.
• Send past due notices to customers, as directed.
• Record all payments received and post to student accounts.
• Maintain office supply inventory and order supplies.
• File school records and student documents.

Qualifications:

• Related college degree or equivalent administrative assistance experience in a fast-paced organization.
• Proficient computer, typing, and technology skills.
• Telephone etiquette – professional, friendly speaking voice.
• Excellent verbal and written communication skills.
• Strong organizational skills.
• Ability to multi-task, be detail-oriented, and a team player.
• A natural “people-person.”
• Must be punctual and reliable.

Job Type: Part-time

Pay: From $16.00 per hour

Expected hours: 20 per week

Schedule:

• 4 hour shift

Experience:

• Administrative Assistant: 2 years (Preferred)
• Customer Service: 2 years (Preferred)
