- We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks
- Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities
- The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment
- If you have previous experience as a Secretary or Executive Administrative Assistant and familiarity within our industry, we’d like to meet you
- Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office
Responsibilities
- Manage and coordinate document control processes, from receipt to retrieval and archive
- Responsible for managing office services by ensuring office procedures are organized, correspondences are controlled, filing systems are designed.
- Ensure filing systems are maintained and current
- Establish and monitor procedures for record keeping
- Ensure security, integrity and confidentiality of data
- Perform basic bookkeeping and data entry
- Schedule appointments and update event calendars
- Handle incoming and outgoing mail and faxes
- Provide general support to visitors
- Participate actively in the planning and execution of company events
- Monitor and implement office policies and procedures
- Monitor and maintain office supplies inventory
- Answer phone calls and transfer to the appropriate individual/department
- Other admin duties as assigned by management
