Baum O’Connor Cullen Chmiel, a Downtown litigation defense law firm, seeks to hire a full-time professional Administrative Assistant. We are looking for an enthusiastic individual with customer service experience for an in person office environment to provide administrative and legal support functions. The day-to-day position responsibilities include directing incoming calls, greeting clients and visitors, distributing incoming mail, supply ordering, conference room set-up, lunch and special function planning, billing and accounting support, new matter intake and some legal dictation transcription work.
Primary Duties and Responsibilities:
- Interact with clients by phone, email or in person.
- Receive and sort all mail deliveries.
- Maintain kitchen and office supplies by keeping accurate inventory, organizing and ordering as needed.
- Review and distribute various legal notices and trial lists.
- Opening all new matters and performing conflicts checks.
- Input data in various Access databases.
- Assist with various billing and accounting functions in Excel and Tabs.
- Scan/copy documents.
- Set-up conference rooms.
- Arrange and set up catered breakfasts/lunches.
- Type legal documents and correspondence from dictation and/or written drafts.
- Organize, proofread and revise documents for attorney review.
- Other duties as assigned by the Firm Administrator.
Knowledge, Skills and Abilities Required:
- Prior experience as an Administrative Assistant preferred.
- Professional attitude and appearance.
- Self-motivated and interpersonal skills to interact with multiple attorneys.
- Take pride in providing top-notch customer service.
- Ability to understand and follow specific, detailed instructions.
- Excellent oral and written communication skills with the ability to interact professionally with all levels of management, staff, and clients.
- Maintain strong sense of confidentiality and ability to exercise sound judgment.
- Ability to independently solve problems and exercise sound judgment with minimal direction.
- Proficient in Microsoft Office Suite.
- Law firm experience a plus.
