Job Description
The Administrative Assistant at Polyvinyl Films, Inc. is responsible for the support of the Polyvinyl Films Inc. Executive Team (CEO, VP Production Operations & Engineering, VP Sales & Marketing). This position will also be responsible for a variety of administrative duties to ensure that the Polyvinyl Films Inc. organization can operate effectively.
ESSENTIAL JOB FUNCTIONS:
Working with our VP Sales & Marketing and agency, assist in all aspects of the company website and social media accounts (maintenance, updates, etc.).
Perform (and/or coordinate, as necessary) all Customer Service functions.
Provide administrative support, such as writing and editing emails, drafting memos, and preparing communications on the executives behalf.
Maintaining comprehensive and accurate records.
Organizing all Executive meetings and events, including scheduling, sending reminders, and organizing catering when necessary.
Interacting with outside parties in a polite and professional manner, while taking accurate messages to provide to the proper Executive.
Welcoming visitors for Executives, identifying the purpose of their visit, sign them in, and contact the person they are visiting before directing them to the appropriate person.
Managing the Executives calendar, on request, including making appointments and prioritizing the most sensitive matters.
Assisting with all paperwork needs and maintaining a high level of confidentiality.
Prepare presentation materials and meeting agendas for Executives meetings.
Makes Executive travel arrangements, files expense reports, and arranges lodging and dining as required.
Acts as a liaison to arrange voice conferences, video conferences, and in person meetings.
General administrative support duties (ordering supplies, etc.).
Assisting in monthly marketing, customer service, and operations reports.
Communicate effectively with multiple departments.
QUALIFICATIONS:
Associates or Bachelors Degree required
1+ years experience in an office environment.
Strong analytical and critical thinking skills.
Strong attention to detail.
Strong organizational skills.
Strong communication and interpersonal skills.
Familiar with social media platforms (Meta, X, LinkedIn, Instagram, TikTok, Pinterest)
Working knowledge of PowerPoint, Word, and Excel
Knowledge of Microsoft Teams
Knowledge of Zoom applications
