We are looking for an Administrative Assistant that has the ability to work diligently to help maintain smooth office operations. You will undertake a variety of activities in the office including general office activities as well as purchasing, ordering and some accounting duties. You must be reliable and hardworking with great communication skills. The ideal candidate will be familiar with office equipment and procedures.
Responsibilities
- Maintain files and records so they remain updated and easily accessible
- Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
- Answer the phones
- Discuss remodeling projects with clients over the phone and enter leads into our contact management system
- Utilize office equipment such as photocopier, printers etc. and computers
- Assist in office management and organization procedures
- Monitor inventory of office supplies and order new supplies when necessary
- Prepare and send warranty packets to clients
- Greet clients and other guests
- Complete yearly registrations with City building departments
- Create and send purchase orders to trades and vendors
- Create and manage cost overruns and estimated cost adjustments
- Manage and code invoices
- Perform other office duties as assigned
Skills
- Ability to navigate multiple computer system windows, applications, and utilize search tools to find information
- Advanced Microsoft Office (Word, Excel and Outlook) skills
- Excellent verbal, written, and interpersonal communication skills
- Strong attention to detail and accuracy skills
- Strong organizational, multi-tasking, and prioritizing skills
- Strong telephone etiquette skills
- Construction and accounting knowledge preferred but not necessary
This is a full time salaried position with a full benefit package available.
