Job description

The Child Support Enforcement Division (CSED) is currently recruiting for multiple Administrative Assistant 1’s to fill full-time permanent positions in our Anchorage office.

What you will be doing:
We are seeking individuals to provide complex clerical support to the assorted sections within the Client Services and Support Services areas of the Child Support Services Division (CSED). This includes but is not limited to:
  • Initiating, inputting, analyzing, researching, updating and finalizing child support case activities through the use of multiple on-line data systems including the Child Support Services Winstar Case Management System and the CSED Imaging and Document Management System
  • Providing telephone coverage
  • Maintaining office supplies
  • Data Entry
  • Filing
  • Document preparation and finalization
  • Distributing mail
  • Providing information to the public or other agencies requiring considerable interpretation and explanation of policies and a general knowledge of all services of the agency
  • Initiating clerical actions that are necessary in proceeding with a child support case

Who we are looking for:
The ideal candidate will possess the knowledge, skills, and abilities listed below.
  • Ability to work independently and prioritize workload in a high-pressure environment while maintaining a high accuracy rate
  • Ability to perform arithmetic calculations involving fractions, decimals and percentages
  • Experience using Word, Outlook, Excel or similar programs
  • Experience with high volume data entry
  • Experience drafting, proofreading and finalizing professional business documents and correspondence
  • Experience interpreting and explaining programs, policies and regulations to the public verbally and in writing
  • Experience working with confidential information
  • Ability to work as a member of a team, to include cross-training and covering for teammates
  • Experience handling incoming and outgoing mail or documents, to include reviewing, sorting, distributing and filing
  • Ability to type a minimum of 35 gross words per minute with an accuracy rate of 95% or higher.
Please note: This position involves periodic moving and lifting of boxes.

Minimum Qualifications

Six months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.
OR
Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)
Special Note:
Examples of advanced clerical experience include:
  • Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.
  • Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver's License (CDL).
