The Administrative Assistant at Interior Gas Utility plays a vital role in supporting the efficient operation of our gas utility. This position is responsible for providing exceptional administrative support to the General Manager and several departments. The position will be based in Fairbanks, AK. Relocation assistance is not provided. The successful candidate will report to the General Manager.
Essential skills:
- Demonstrate initiative with the ability to organize and prioritize work, adapt to changing priorities, and meet deadlines with a high degree of independence and attention to detail.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Ability to read, interpret, and explain policies, procedures, and legal documents.
- Experience working with confidential information and documents.
- Proficiency in the MS Office Suite.
- Experience with Zoom and/or MS Teams.
Duties:
- Carries out administrative duties such as filing, typing, proofing, copying, binding, scanning etc.
- Answers and routes phone calls, schedules meetings and supports various department’s needs.
- Takes payments, assists customers, and provides front desk back up as needed.
- Learns the public board meeting process, including posting official notices of meetings in accordance with the Open Meetings Act, Board meeting packet development, drafting meeting minutes and public document distribution.
- Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, shopping, placing and expediting orders for supplies. Facilitate office building maintenance as needed.
- Assist in the seasonal hiring process.
- Assists with event planning.
- Create purchase orders.
- Creates and maintains filing systems, both electronic and physical
- Other duties as assigned.
Qualifications
· High school diploma required and 18 years of age at date of hire.
· 2 years of administrative experience.
· Must have a valid driver’s license.
· Required to pass a background check and drug test.
