Under the supervision of the Executive Director, the Administrative Assistant/Data Specialist will provide administrative and office support to the directors and managers. This position will also assist with data entry. Responsibilities will include a variety of administrative tasks including general reception work consisting of answering phone calls, taking messages, managing calendars, writing letters and data entry. Administrative operations include activities in finance, human resources, and program quality. May also include IT and facilities responsibilities.
This position is a full-time, non-exempt position eligible for Medical, Dental, Vision, Life Insurance, 403(b) retirement plan, and paid holidays, sick and vacation time. The position is employed by Goodwill Industries® of Sacramento Valley and Northern Nevada, Inc., through Wind Youth Services.
ESSENTIAL DUTIES & RESPONSIBILITIES:- Plans and coordinates administrative processes and systems and develops strategies to streamline processes.
- Ensures administrative integration within organization.
- Compiles data from program reports.
- Ensures all data systems are tracking information correctly.
- Communicates with executive leadership, board members, staff, interns, donors and community partners, as directed by the Executive Director.
- Assists in the preparation of grant reports.
- Manages calendars, schedules activities and events.
- Coordinates meetings with executive leadership, directors, staff and stakeholders.
- Is the first point of contact in the upstairs reception area and directs visitors to the appropriate individual in a professional manner.
- Assists in generating POs and general procurement in compliance with organizational procedures.
- Assists in onboarding new staff.
- Assists in evaluation systems and developing strategies aligning with best practices.
- Ensures compliance with all Wind Youth Services and Goodwill Industries® Sacramento Valley Northern Nevada policies, CARF standards, and safety and security regulations.
- This position steps in to help with day to day tasks at the Drop in Center on a as needed bases.
