Position Summary
Major Areas of Responsibility
- Opening mail, preparing deposits, and applying payments to customer accounts
- Customer account reconciliations
- Maintaining weekly call reports for accounts with past due balances, contacting customers to determine payment status. Assisting with resolution of disputed invoices by working with customers and the Customer Service department
- Call Center Support includes answering inbound calls for the Accounts Receivable phone queue. Provides back-up support for the Credit Department queue
- Provide credit support as needed to assist releasing open terms orders
- Maintain tax certificates, reach out to request updates, input tax exemption certificates. Audit Freight Forwarder tax exempt customers annually.
- Validate and update expiring tax certificates in accordance with our existing tax department best practices
- Manage communications to the customer requesting updated tax certificates. This involves mail merge, email blast, and follow up phone calls
- Communicate with our Wholesale customers when tax information is incomplete, ensuring internal tax files are up-to-date and meeting specific state requirements
- Create billing accounts for new wholesale open terms customers. Create and mail welcome letters
Education, Skills & Experience
- Must be detail oriented, accurate and have a keen interest in resolving customer issues
- Minimum 2-3 years prior Accounts Receivable experience is preferred
- Must possess a great customer service attitude, work within a call center environment, have excellent phone, verbal, and written skills, and be able to work independently with minimal supervision
- Intermediate Excel skills – Vlookup, Pivot Tables, Mail Merge. 10-key by touch required
