Role Summary:
The AP Clerk is responsible for maintaining vendor relationships and accurate Accounts Payable master files and transactions. Also responsible for procuring ecommerce goods for resale as well as maintaining inventory and ecommerce order fulfillment.
Role Priorities / Responsibilities:
- Responsible for setting up Vendors.
- Creates and distributes procurement requisitions and purchase orders.
- Matches purchase orders with invoices and prepares them to be sent to Corporate for payment processing.
- Answers all vendor inquiries.
- Works with Corporate to ensure timely processing of disbursements.
- Maintains Accounts Payable files.
- Monitors and maintains current inventory levels and investigates problems.
- Handles ecommerce inventory procurement, order processing, fulfillment, and shipping.
- Performs routine clerical duties, including data entry, answering telephones, and assisting customers. Performs miscellaneous job-related duties as assigned.
Other Responsibilities:
- Resolves payables discrepancies by examining payables records.
- Provides Vendor assistance aiding in the timely recording and payment of invoices according to company standards.
- Assists and manages special Accounts Payable projects as assigned.
- Processing sales orders from the Woo Commerce platform.
- Shipping and receiving sales orders from Woo Commerce. Monitors and maintains inventory, including assisting with quarterly audits.
Essential Knowledge, Skills, and Abilities:
- Excellent customer service skills and orientation.
- Working knowledge of payables and invoicing procedures.
- Experience with Oracle or equivalent accounting applications a plus.
- Must be proficient (or advanced) in Microsoft Excel.
- Ability to receive, stock and/or deliver goods.
- Ability to reconcile stock counts to report data. May require handling of objects that can weigh up to 50 lbs.
Education or Certification required (if applicable):
- High school diploma or general education degree (GED) or one to three months related experience and/or training; or equivalent combination of education and experience.
