SUMMARY:
This position is responsible for assisting the Finance Department with its' records management, asset identification and inventory.

Maintain up to date files throughout the Finance Department.
- Prepare and maintain spreadsheets as needed within the department.
- Responsible for counting inventory and assets according to policy.
- Assist Staff Accountant, Revenue Audit Supervisor, with various projects as needed especially during the busier time of month-end.
- Assist Accounts Payable clerk with the production and distribution of check runs.
- Responsible for identifying, tagging, and recording fixed assets.
- Maintains a thorough, working knowledge of dry goods, paper products, chemical supplies, and Food & Beverage inventory.
- Cooperates with Accounts Payable Employees in the verification of orders received.
- Compiles statistical data for reporting purposes.
- Facilitates the flow of information, by attending regularly scheduled departmental meetings.
- Held accountable, to a high degree, for the accuracy and thoroughness of departmental records and reports.
- Responsible for maintaining a consistent, regular attendance record.
- Other duties as required.

EDUCATION and/or EXPERIENCE:
High School diploma or GED required. Associates or bachelor degree in accounting or related area from college or university or four to six years of experience in accounting or equivalent combination of education and experience preferred.
Prior experience working, in the field, of Finance/Accounting.
Prior experience working with Microsoft software and must include Excel spreadsheets, Word documents, and Outlook email.
Prior verifiable work experience that included the with matching receiving documentation with invoices.
Prior experience with inventory maintenance (counts, listings, spreadsheet analysis)
Prior experience with MIP Sage software
SPECIAL QUALIFICATIONS:
Must possess effective communication, organizational, and analytical skills. Must be extremely numbers-oriented and computer-literate
LANGUAGE SKILLS:
Ability to read, analyze, and interpret basic instructions, furnished in written, oral or diagram form.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
Ability to apply commonsense reasoning to a variety of situations and deal with several abstract and concrete variables.

ACCOUNTS PAYABLE CLERK

SUMMARY:
Responsible for properly performing all financial activities related to the Accounts Payable Department, in accordance with established policies, procedures and controls.

- Ensures that payments are maintained for all accounts, and that the billing process and follow-up is completed in a timely manner, in accordance with established policies and procedures.
- Researches, authorizes, and processes for payment, all invoices which require payment; enters necessary information into computer, and pays invoices in a timely manner.
- Advises management and respective vendors when an invoice has not been authorized for payment, researches same, and remedies situation.
- Communicates with all departments, with respect to invoices, expense reports, customer damages, etc.
- Organizes pending Purchase Orders and Requests for Capital Appropriations.
- Facilitates the flow of information, by attending regularly scheduled departmental meetings.
- Held accountable, to a high degree, for the accuracy and thoroughness of departmental records and reports; files departmental records and reports.
- Responsible for maintaining a consistent, regular attendance record.
