About the Role
The Accounting & Office Administrative Assistant is responsible for the processing of various accounting and office activities. Duties include, but are not limited to, accounts payable, outbound documentation, records retention, responding to customer inquiries, and other duties as assigned.
What you'll do:
- General receptionist duties including interacting with customers and associates in a courteous and professional manner, both on the phone and in person.
- Ensure office runs smoothly and office equipment is maintained. Purchase office supplies as needed.
- Keep files current and organized per Matson's document retention policy.
- Process paperwork for charitable and employee moves.
- Compile, review, copy, and transmit documents for southbound cargo including hazardous and auto shipments.
- Deliver all southbound documentation electronically to appropriate destinations and research questions that may arise.
- Maintain southbound vessel files and compile and maintain southbound spreadsheets promptly after vessel departures.
- Assist General Manager in any additional reports and research as required.
- Receive and enter invoices into accounts payable system, assist with reconciliation of accounts.
- Oversee vehicle shipment activity for military and personally owned vehicles (POVs) and ensure military auto processes/policies are adhered to.
- Work directly with USCG Base Transportation Office on military auto moves and ensure documentation on vehicles is electronically delivered to appropriate destinations.
- Oversee less than container load (LCL) movement.
- Provide current published rates to customers for routine moves.
- Work with Anchorage Rates department to update rate sheets as needed and advise General Manager and Teamster Dispatch of such changes.
- Maintain customer confidentiality.
- Cross train for all duties within the accounting department.
- Other duties as assigned.
You have these skills:
- Communicate effectively in a variety of settings including one-on-one, small and large groups, or among a diverse group of customers or position levels.
- Ability to get the most out of limited resources and applies knowledge of internal processes to effectively accomplish tasks.
- Ability to work within a team environment and collaborate with others.
- Establish and maintain effective customer relationships. Multi-task and prioritize daily schedules to ensure deadlines are met.
- Ability to learn new processes and procedures and be flexible with the changing needs of the operation. Maintain a high level of integrity and confidentiality.
And these qualifications:
- High school diploma with two (2) years' experience in a clerical or customer service position.
- Strong computer literacy in all Microsoft Office programs such as Excel, Access, Word, and Outlook.
- Proficient in the use of all office equipment and the Internet.
- Ability to work a flexible schedule when needed, which may include overtime, evenings, weekends, or holidays if needed.
