Scope
The Receptionist is the front-line Company representative, making the first impression for visitors and guests. Customer service is the primary focus and responsibility of the Receptionist, who shall make certain the needs and requests of our customers are heard and answered, whether directly or by referral to another staff member. The Receptionist shall perform all reception job functions, including telephone and customer assistance, while providing support for management and administrative staff.
The Receptionist must:
- Promote the mission, image and values of Renaissance by exhibiting professional and ethical work practices.
- Take ownership of the resident experience by acknowledging and completing each customer interaction 100% of the time.
- Create a welcoming atmosphere at building entrance; greet all residents by name and make visitors comfortable.
- Be an integral part of the administrative team, supporting the ED and senior managers.
- Maintain a clean and organized work environment.
- Inspire team members to provide positive, memorable experiences for all customers every day, through effective interaction; provide them a meaningful work experience by living the company’s core values; encourage and support employees to inspire compassionate performance and reaffirm the positive difference their work makes in our customers’ lives.
- Handle confidential information, which requires discretion and diplomacy.
- Attend and participate in in-service educational classes and on-the-job training programs as directed.
- Practice effective time management to meet goals and requirements of job.
Essential Duties
I. General reception duties:
- Assist residents as they come/go.
- Answer telephones.
- Greet visitors and others in a professional manner that best represents the Company.
- Monitor security cameras.
- Handle entrance requests to secured doors .
- Respond (per direction/training) to fire panel issues when an alarm sounds.
- Perform all secretarial and administrative duties, including correspondence, mail distribution, courier parcels, etc.
- Provide clerical help to departments when requested; including coordinating mailings.
- Update and manage the Communications Binder, ensuring all front desk coverage personnel receive current and relevant information.
- Compile brochures and application packages.
- Create and distribute work orders as requests are made by residents and staff; notify Maintenance of work orders that need immediate attention.
- Distribute paychecks and staff information in accordance with distribution procedures.
- Facilitate company logistics: deliveries, furniture moving, etc; act as an information resource .
II. Maintain the safety of the building through strict implementation of the sign in/out procedures:
- Ensure all residents and visitors sign in and out of the building.
- Prevent barred individuals from accessing the building.
- Report residents who are unaccounted for.
- Track overnight guests.
- Other duties as assigned.

I. Experience and skills required:
- Computer literate –Word, Excel.
- Polished language skills.
- Good people, telephone and typing skills.
- Positive attitude and energy to work alongside Executive Staff.
- Excellent organizational skills.
- Ability to timely and effectively follow up on all documentation and information gathering.
- Ability to effectively communicate with co-workers and senior management.
- Ability to handle several tasks and interruptions at once, and respond effectively to unexpected changes and requests.
- Able to maintain regular attendance.
- Ability to effectively handle stressful situations and work well under pressure.
- Ability to handle customer/employee complains and issues including situations where customers/employees may be angry and/or upset.
Must have the ability to read, write and follow oral and written direction in the English language at a level adequate to perform the job duties.
Must maintain and encourage a positive work atmosphere by behaving and communicated in a manner that promotes cooperation and positive, memorable experiences for co-workers, manager and others with whom contact is made.
