Job description

The Edward-Dean Museum is a historic home that is committed to preserving its collection of 16th to 19th-century decorative arts while offering social, cultural and educational enrichment. With 16 acres of stunning beauty and tranquility nestled in picturesque Cherry Valley, the Edward-Dean Museum houses 2,700 archival books, three rotating exhibits, and hosts year-round special events in its gardens.


Position Summary:


As an Events and Operations Coordinator you will be responsible for the efficient and effective functioning of operational aspects within the venue. Your role will encompass overseeing daily operations, managing staff, coordinating logistics and events, and ensuring a smooth visitor experience. You will play a pivotal role in maintaining the Museum's and Garden’s high standards and contributing to its success.

Essential Duties/Responsibilities:


An individual must be able to perform each essential duty and responsibility satisfactorily.

  • Operational Planning: Develop and implement operational strategies, policies, and procedures to ensure the smooth functioning of the museum. Collaborate with senior management to align operational goals with the Museum's and Garden’s mission and strategic objectives.
  • Staff Management: Recruit, train, and supervise a diverse team of staff, including frontline personnel, security personnel, and administrative staff. Set performance goals, provide guidance, conduct performance evaluations, and foster a positive work environment.
  • Visitor Experience: Ensure a positive and engaging experience for visitors by overseeing ticketing processes, managing crowd flow, and coordinating visitor services such as guided tours, audio guides, and interactive exhibits. Continuously seek ways to enhance visitor satisfaction and implement improvements based on visitor feedback.
  • Facility Management: Oversee the maintenance and security of Museum and Garden facilities, including exhibition spaces, storage areas, offices, and public areas. Coordinate with maintenance staff, security personnel, and external vendors to ensure cleanliness, safety, and proper functioning of equipment and infrastructure.
  • Logistics and Inventory Management: Manage inventory of merchandise, and supplies. Coordinate logistics for events, and event equipment. Monitor and control inventory levels, ensuring efficient procurement and storage practices.
  • Budget and Financial Management: Assist in the development and management of the museum's operational budget. Monitor expenses, identify cost-saving opportunities, and ensure adherence to budgetary guidelines. Prepare financial reports and provide recommendations to senior management for resource allocation.
  • Compliance and Risk Management: Ensure compliance with legal and regulatory requirements, including health and safety standards, accessibility guidelines, and copyright laws.
  • Collaboration and Stakeholder Engagement: Cultivate relationships with community organizations, sponsors, and donors to foster partnerships and secure support for Museum and Garden activities.
  • Technology Integration: Stay abreast of emerging technologies relevant to operations and explore opportunities for their integration. Utilize digital tools for visitor engagement, inventory management, ticketing systems, and data analysis to optimize operational efficiency.
  • Other duties as assigned.

Requirements

  • 3-5 years of catering experience or customer-facing experience required.
  • Proven experience in operations, wedding event planning, facilities management, or a related field.
  • Strong organizational and multitasking skills, with the ability to prioritize and manage multiple projects simultaneously.
  • Excellent leadership and team management abilities.
  • Knowledge of best practices, industry standards, and visitor services.
  • Responsible for coordinating events and/or rehearsals from start to finish.
