The full-time Event Planner reports directly to the Director of Event Programs at First Baptist Church of Glenarden. The Event Planner is responsible for overseeing and executing Church Ministry Operations Events, including retreats, conferences, concerts, worship services, and community-based events. Working in collaboration with ministry event leads, department and operations teams, and other stakeholders, the Event Planner ensures the successful planning and execution of events. This role involves managing logistics, coordinating with vendors, and serving as the primary point of contact for event-related matters.

RESPONSIBILITIES

Event Execution

  • Oversee a portfolio of Church Ministry Operations Events, including retreats, conferences, concerts, worship services, and community-based events.
  • Collaborate with ministry event leads, department and operations teams, and other stakeholders to ensure successful event execution.
  • Organize event logistics, maintain project timelines, and schedule planning meetings.
  • Coordinate all event logistics, such as session set-up, food and beverage management, transportation, licenses, and insurance coverage.
  • Serve as a back-up planner for pop-up events and in case of issues with contracted planners.
  • Provide onsite support for events, ensuring smooth execution of logistics.
Team Collaboration
  • Collaborate with programming and stakeholder engagement team members to align event strategies with FBCG's mission and values.
  • Foster engagement, support, and development of event-related content through regular touchpoints.
  • Implement program and stakeholder engagement goals for each event.
  • Be accessible to operations teams for meetings to address logistics-related questions and troubleshoot problems.

Volunteer Management

  • Curate, recruit, and train volunteers for event engagement and participation.
  • Collaborate with volunteer or event leads to provide orientation and onboarding for volunteers.

Administrative and Reporting

  • Manage post-event reports, ensuring compliance with grant requirements, reporting, and evaluation.
  • Monitor financial resources and effectively manage program event budgets.
  • Develop tracking systems for volunteer recruitment, management, and communication support.
  • Exemplify the organization's core values and serve as a role model.
  • Perform other assigned duties as needed.
  • Serve as a back-up to the Director of Event Programs.

Event Technology Management

  • Strategic Event Registration Management: Oversee the end-to-end process of event registration, from initial setup to attendee communication and data management. Utilize advanced registration systems to customize registration forms, manage ticket sales, and track attendee information efficiently. Ensure seamless integration with payment gateways and CRM systems to streamline financial transactions and attendee data collection.
  • Continuous Improvement and Benchmarking: Regularly evaluate and benchmark event technology solutions to ensure alignment with industry best practices and organizational objectives. Conduct thorough assessments of registration systems, event apps, virtual platforms, and event management software to identify areas for improvement and optimization. Implement innovative features and functionalities to enhance user experience and maximize operational efficiency.
  • Technology Trend Monitoring: Stay abreast of emerging event technologies and trends to anticipate future needs and opportunities for innovation. Monitor industry developments, attend relevant conferences and workshops, and engage with technology vendors to gain insights into cutting-edge solutions and best practices. Proactively explore new technologies such as augmented reality, virtual reality, and artificial intelligence to enhance event experiences and drive operational excellence.

QUALIFICATIONS

  • Must be saved, have a servant’s heart, and be a member, in good standing or willing to become a member in good standing of FBCG.
  • Must be able to submit to authorities as defined by the Pastor.
  • Must possess a gracious, Christ-like demeanor in demanding situations.
  • Must have an understanding and appreciation for the ministry and the mission of FBCG.
  • Bachelor's degree with a minimum of 4 years of relevant experience in a hospitality-related field
  • Experience working in event management, planning, and directing.
  • Volunteer management experience is highly preferred.
  • Understanding of association organizational models and the non-profit landscape is a plus.
  • Operate at a mastery level in office administration, ensuring efficiency and effectiveness in daily tasks.
  • Demonstrate adaptability by adjusting to changes in the work environment, managing competing demands, and modifying approaches as needed.
  • Prioritize and plan work activities, utilize time efficiently, and develop realistic action plans to ensure effective execution of tasks.
  • Actively seek ways to improve and promote quality, demonstrating accuracy and thoughtfulness in all work endeavors.
  • Take initiative in appropriate situations, surpassing expectations when necessary to contribute proactively to the organization's goals.
  • Develop relationships based on trust, respect, and commitment to the organization's mission, fostering a positive and collaborative work environment.
  • Exhibit the ability to think ahead and have materials prepared in advance, ensuring readiness before they are required.
  • Possess a working knowledge and understanding of church doctrines, protocol, and the church leadership structure.
  • Proficiency in a variety of event technology platforms and tools.
  • Strong data management and analytics skills.
  • Ability to innovate and adapt to emerging event technology trends.
