Overview:
We seek a highly organized and detail-oriented Warranty Service Coordinator (Customer Service) to join our nationwide window and door service company. The successful candidate will be responsible for a territory of states and coordinating between Independent Contractors, Homeowners, and Manufacturers to schedule and complete warranty work for the manufacturers we support. This role requires strong communication skills, managing multiple tasks simultaneously, and a customer-focused mindset.
Responsibilities:

• Coordinate and oversee the Warranty Service process for window and door repairs and replacements.
• Coordinate between Homeowners and Independent Contractors to schedule and complete warranty work promptly and efficiently.
• Serve as the main point of contact for Independent Contractors, providing clear instructions and resolving any issues or concerns that may arise.
• Communicate with manufacturers to ensure compliance with warranty guidelines and obtain necessary approvals for warranty work.
• Maintain accurate records of warranty claims, including detailed documentation of repairs, replacement parts, and associated costs.
• Collaborate with the Customer Service team to address customer inquiries and resolve any warranty-related concerns.
• Monitor and analyze warranty data to identify trends and recommend process improvements to enhance efficiency and customer satisfaction.
• Assist with training and onboarding of Independent Contractors on warranty procedures and requirements.
• Stay updated on manufacturers' warranty policies and procedures, proactively communicating any changes or updates to the appropriate stakeholders.
• Act as a liaison between the manufacturers, Independent Contractors, and internal teams to ensure smooth coordination and completion of warranty work.

Requirements:

• High school diploma or equivalent qualification; additional certification in Customer Service or related field is a plus.
• Proven work experience as a Customer Service Representative, Claims Coordinator, or Warranty Service Coordinator or similar role.
• Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
• Strong verbal and written communication skills, with the ability to effectively communicate with contractors, manufacturers, homeowners, and internal teams.
• Customer-focused mindset with a commitment to delivering exceptional service and resolving customer issues promptly and satisfactorily.
• Ability to manage multiple tasks simultaneously and adapt to changing priorities in a fast-paced environment.
• Proficient in using computer systems and software, including Microsoft Office Suite and CRM systems.
• Knowledge of window and door products and repair processes is a plus but not required.
• Ability to build and maintain strong relationships with both external contractors and internal teams.
• Problem-solving skills and the ability to effectively resolve conflicts and issues that may arise during the Warranty Service process.
• Ability to work independently and in a team-oriented environment.
