Warehouse Administrative Assistant & Receptionist - La Maison Longchamp

Position: Warehouse Administrative Assistant & Receptionist
The Wholesale Administrator & Receptionist provides general office support with a variety of clerical activities and customer service-related tasks. Undertakes Receptionist duties answering & directing calls to appropriate associates. Manages mail distribution, supports flow of correspondence by maintaining contact lists and distribution lists, ordering of office supplies, as well as other miscellaneous clerical and customer service-related duties.
Responsibilities:

  • Supports the daily wholesale administrative workflow.
  • Undertakes Robbinsville office receptionist duties.
  • Oversees the Longchamp USA and Canada telephone directory, maintains email distribution lists, coordinates all physical mail distribution within the office and maintains the master customer contact list.
  • Interacts and supports Wholesale clients via telephone, email, online chat, or in person.
  • Ensures accurate Client & Administrative records are kept as well as resolving customers' problems and concerns.
  • Uses knowledge of a specific product, service, or other assigned area of expertise to answer inquiries or to forward to the appropriate staff.
  • Engages in all required product & brand trainings.
  • Maintains office supplies and kitchen supplies inventories.
  • Supports department store hold order placement and/or cancellations as well as modifying new start ship and cancel dates.
  • Acts as a back-up for other customer service-related activities
  • Completes End of Month Reports for Department Stores (including sales and inventory reports)
  • Executes weekly and monthly reporting as requested by leadership team members (includes saving down dept store selling reports)
  • Process and edit specialty store orders in a responsible manner.
  • Provide on-site support at Cheryl's Closet as needed.
  • Process new products for Cheryl's Closet, including ticketing and display.
  • Provide seasonal ship windows and price changes in an easy-to-read format for all majors.
  • Manage off-price accounts by creating offers and ordering discontinued product within the Longchamp guidelines.
  • Performs other related duties as assigned.

You will act as a genuine agent of change, developing innovative solutions and working on issues relating to corporate culture and CSR.
Requirements
Knowledge, Skills, and Abilities:
  • Effective verbal and written communications skills.
  • Highly organized and self-motivated with strong interpersonal skills.
  • Works well in a team environment, and yet can function with certain level of independence. Team player and high performer
  • Ability to meet and be responsive to deadlines.
  • Ability to work with minimum supervision.
  • Able to multi-task and prioritize.
  • Strong customer orientation and service-focused
  • Must be able to handle calls in a professional, prompt, accurate and thorough manner.

Qualifications:
  • This job requires a minimum of a High School Diploma (or GED and have at least 2 years' experience working in a retail and/or wholesale capacity with preferred knowledge of customer service and strong clerical skills.
  • Proficient in Microsoft Office, Outlook, Excel, and Word.
  • Familiarity with SAP is an advantage.
