Position Overview
This is a remote, part-time role reporting to our CEO. This role is open to anyone living in the United States.
The part-time Virtual Executive Assistant role will start at 15-20 hours per week, with growth opportunities available for more hours. This role may have occasional (flexible) need for additional hours on an as-needed basis.
While this role has a flexible work schedule, a successful candidate will be able to participate on a daily basis, Monday through Friday, with the majority of work performed during business hours between 9 am and 5 pm Central Time.
Mission
The mission of the Virtual Executive Assistant is to be the right-hand person to both of Illuminated’s founders.
This person will be a key asset to the organization by:
- Proactively organizing administrative details and managing schedules for the founders
- Communicating with Illuminated’s prospective and active clients
- Supporting miscellaneous projects for internal (such as project management and operations) and client needs
While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on founders’ and company needs. The most important responsibility of the Virtual Executive Assistant is to ensure administrative tasks and projects are completed with a high level of accuracy, efficiency, confidentiality, flexibility, and positivity in order to support the initiatives of the founders.
Responsibilities
The Virtual Executive Assistant will have the following primary responsibilities:
- Communicating on founders’ behalf both internally and externally
- Email management to organize and maintain founders’ inboxes
- Calendar management and scheduling (both personally and professionally)
- Meeting support including preparing agendas, taking notes, and communicating action items
- Varying personal and professional administrative tasks including, but not limited to, booking appointments, researching projects, coordinating travel, ordering gifts/flowers, etc.
Proficiencies
Quality Communication
The EA must be an excellent communicator with a high degree of professionalism, in both written and oral forms. This involves proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly in writing and orally. You must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include virtual video calls, Slack messages, ClickUp tasks and comments, and/or email.
High Level of Discretion
Since our EA will regularly work with confidential information, discretion and sensitivity regarding confidential information is a must.
Anticipating Needs
As a part of our commitment to enabling our founders to serve our company and clients at the top of their game, our EA will strive to anticipate needs and eliminate friction at work and home whenever possible. This means you know how to stay five steps ahead of your leaders, clearing the path for them to make their greatest contribution.
Affinity for Technology
Our Executive Assistant will be technologically savvy and not intimidated by learning new systems and software. Proficiency in the following tech platforms is ideal:
- Slack
- Zoom
- Google Workspace
- ClickUp
- Loom
- HubSpot
Requirements
Education: Bachelor’s degree preferred
Experience: 4+ years supporting small business owners, business executives, or similar
Compensation
Job Type: Independent Contractor, Part Time (15-20 hours / week), Hourly, 100% Virtual
Salary Range: $25 - $35 / hour, depending on experience
