The primary purpose of this position is to provide Executive Administrative support to CAT's executive The Executive Administrative Assistant will spend about 75% of their time supporting the President (i.e. formatting and proofreading documents; setting up and maintaining files, monitoring projects, recording meeting notes, etc.). The other 25% of their time will be spent working with other members of the leadership team and supporting other functional areas (i.e. researching topics, assisting with company-wide initiatives, etc.)
This is a part-time, non-exempt position, and generally requires 5-20 hours per week.
Essential Duties and Responsibilities:
The Virtual Executive Administrative Assistant position’s responsibilities include but are not limited to:
- Supporting the President by responding promptly to requests, staying abreast of events, as well as proactively coordinating, implementing, and monitoring projects;
- Drafting and preparing corporate documents, reports, presentations, white papers, memos, letters, faxes and forms;
- Organizing and scheduling appointments; Planning meetings and taking detailed minutes.
- Making travel arrangements; Maintaining contact lists;
- Coordinating executive communications, including taking calls, responding to emails, and interfacing with clients;
- Acting as the point of contact for internal and external clients;
- Collaborating with Managers on projects and to handle requests and queries from the President;
- Maintaining appropriate filing systems;
- Upholding a strict level of confidentiality & always representing the firm in a responsible and professional manner
Minimum Qualifications (Knowledge, Skills, and Abilities)
The successful candidate must
- Hold a High School Diploma or equivalent GED;
- 5 years minimum experience supporting C-Suite executives;
- Have previous experience working with and understanding government contracts;
- Demonstrate the ability to communicate effectively in English, both orally and in writing;
- Excellent time management skills and the ability to multi-task and prioritize work in a fast-paced organization, and respond in a timely way to ad-hoc requests;
- Strong organizational, project management, and problem-solving skills, including the ability to independently research topics;
- Demonstrated proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel; understanding of Office 365/OneDrive preferable;
- Exceptional interpersonal skills; Friendly and professional demeanor;
- Knowledge of office management systems and procedures;
- Ability to analyze and make suggestions for revising operating practices to improve efficiency.
