Job Description
The Treatment Coordinator is responsible for promoting practice growth through effectively implementing administrative procedures and a positive, professional presentation as a member of the administrative team. This position will project the positive, friendly atmosphere of our practice by welcoming all visitors in a cheerful and professional manner, and presenting Orthodontic treatments to patient.
•Provide administrative support and coordination for aspects of patient care for both new and/or established patients
•Schedule patient appointments
•Call new patients a week before and a day before appointments, introduce yourself, confirm office address and insurance information
•Plan, coordinate and carry out patient operations
•Care call next day (start patients)
•Call on new missed new patient appointments to r/s in a timely manner
•Prepare start bags for each start
•Follow up weekly on GG exams needing appointments (Run a report)
•Follow up on NST patients (set to recall if needed)
•Follow up on HLD for NOA’s
•Address patient requests and needs in a professional manner, answer direct and/or office treatment questions
•Confirm w/ Dr. ext. referral forms (assoc. ext. request)
•Respond to patient concerns timely and ensure patient satisfaction
•Schedule patient appointments and make reminder calls
•Greet patients and direct them to examination rooms
•Obtain insurance information from patients, process patient billing and collect payments
•Train on contracted rates, learn to calculate maximum benefits (patients benefits should already be verified in the beginning)
•Give fee quotes, insurance contracted rates or offer fees some type of promotion (Billboard discount, etc.)
•Collect and maintain patient health, demographic, insurance and financial information
•Develop patient care plan and assessment information based on dental office
•Work with patient through every phase of the orthodontics treatment or procedure
•Explain primary benefit and risks of surgery or dental treatment
•Provide excellent customer service.
•Monitor schedule for new patients.
•Telephone: answer appropriately, record, and retrieve messages.
•Retrieve messages and e-mails and act upon them.
•Welcome patients and visitors into office with cordial greeting and a smile.
•Monitor schedule for new patient appointment.
•Check patient records and provide with appropriate and necessary forms upon arrival (i.e. medical history, HIPAA consent, contact information, etc.).
•Make certain that office has x-rays from previous dentist when appropriate.
•Schedule appointments in consideration of production and capacity.
•Set up appointments with specialists when indicated, coordinate with specialists’ office, send x-rays, explanatory letter, and provide a referral card/pamphlet for specialist to patient.
•Accept and record payments made at the time of service, via mail and telephone.
•Present financing options and make necessary arrangements.
•Prepare End-of-Month Report, when necessary.
•Make courtesy calls for treatment follow-up such as post-op calls, when necessary.
•Prepare and submit End of Day Reports.
•Additional responsibilities as needed and as appropriate.

Good interpersonal skills to maintain positive rapport with patients, dentists, other staff members and community.

Qualifications
• Minimum education of a high school diploma or GED.
• Two years of experience in a dental setting.
• Computer literacy.
• Current CPR Certification.
