Responsible for the new patients’ smooth transition into the practice. Educate patients and parents on oral health of braces, clear aligners, and appliances. The Treatment Coordinator arranges and coordinates the event and appointments necessary to convert the new patient into active or pre-treatment recall status.
The treatment Coordinator serves as the financial and insurance benefit expert to obtain a high percentage of treatment acceptance from the patients. The T.C. promotes the doctor and the practice by building relationships with patient and parents as well as the general dentist and specialists.
The TC becomes the office advocate and liaison during treatment. The Treatment Coordinator’s purpose is to create a fun, exiting, nurturing environment that the patient will truly enjoy and explain to prospective patients what differentiates us from other orthodontic offices. Most importantly the Treatment Coordinator gets prospective patients to start treatment in our 5-star Orthodontic office.
Responsibilities:
1. Greet new patients. Pull any appropriate x-rays and siblings records. Checks for all patient health history/demographics are complete. Perform the staff part of the examination by educating the patient and parents on oral health of braces, clear aligner and orthodontic appliances.
2. Present treatment fee estimate, discuss payment options, insurance, the goal is to obtain high treatment acceptance.
3. Accurately charts and documents all notes pertaining to the patient during the exam and treatment set forth by the company guidelines.
4. Communicate with GP office to obtain updated dental information, X-rays and medical clearance.
5. Follow up and track patients that have not yet started treatment (Pending)
6. Confirm all New Patient, re-cons, seps and scan appointments the night before. Be on the look out for any payment arrangements.
7. Work with our marketing team to promote the practice, e.g. setting up Drs. and staff lunches with GP/referring offices.
8. Help to coordinate practice building and public relation efforts with patients, parents, referring and non-referring professional, and the community.
9. Track referral sources and send out thank you notes.
10. Call broken appointments for new patient, initial records, seps and Clear aligner scans.
11. Be backup on the phones at the front desk as needed.
12. Attend and be an active participant in all office meetings, continuing education events and daily huddles.
Compensation: $34 - $38 per hour
