Job Title: The Executive Office and Board Liason

 

Job Highlights

Provide executive support to the General Director & CEO by organizing large-scale detailed projects and aiding with strategic thinking with regards to Board relationship building. Works in collaboration with the Chief of Staff to provide high-level strategic and administrative support to the General Director & CEO, as well as organizing resources and establishing priorities. Enhance the General Director & CEO's effectiveness by providing collaborative, and at times confidential, project support. Facilitate an inspired and exceptional Board experience by providing superior leadership and expertise in nonprofit management and governance, as well as providing accurate, timely, and effective communications and materials to foster a well-informed, educated, and engaged organization.

Compensation and Benefits

The starting salary for a candidate who meets the minimum requirements of the position is $50,000.00.  We offer robust benefits to full-time employees, including:

Key Responsibilities

  • Serve as the director for all governance activities including, but not limited to:

    • Liaising with Board officers, Committee Chairs, Board members, Committees

    • Providing and sharing information and scheduling for all governance meetings

    • Managing the process of ensuring governance meeting logistics such as securing meeting space, set up, coordination of meals, handouts, etc.

    • Advising staff liaisons regarding Committee issues, strategy, and proper governance procedures

    • Assisting the General Director & CEO and Chairman of the Board with recruitment, development, and orientation of current and future Board and Committee members

    • Serving as Assistant Secretary for HGO and HGO Endowment and serve as a liaison to the General Counsel on By Laws, Resolutions, and policy recommendations

    • Maintaining an archive of all corporate records

    • Maintaining and updating the organization's governance framework and monitor compliance accordingly

    • Managing distribution, and collection of annual Conflict of Interest Policy

  • Manage governance communications functions including but not limited to:

    • Ensuring urgent and priority correspondence and matters are communicated in a timely and effective manner to various constituents including Board, committee members and others as required.

    • Promoting the department by professionally representing the Office of the General Director and HGO internally and externally

    • Keeping the OGD fully apprised of all communications, activities, and matters vital to the success and well-being of the organization

  • In collaboration with Chief of Staff, provide information and support as appropriate for executing and managing key business processes and activities including but not limited to:      

    • Preparing and organizing reports, correspondence, presentations, minutes, and other documents

    • Anticipating conflicting priorities and keeping balance to ensure key projects, deliverables, and priorities meet deadlines

    • Supporting the General Director & CEO as a key liaison for strategic governance relationship management and communications at meetings, conference calls, and interviews as required

  • In collaboration with Chief of Staff, coordinate the implementation of the organization's Strategic Plan and assist in tracking progress towards achieving key goals and benchmarks

  • Interact as required with various members of the HGO Leadership, Board members, committee members, General Directors and representatives of other opera companies nationally and internationally, Houston-area arts leaders, and local government officials; engage with all on matters of strategic importance

  • Support and foster positive company morale by coordinating OGD department hosted company-wide activities and events

  • Act as a role model for Executive Assistant and colleagues within the organization by behaving in a professional manner at all times and ensuring high customer satisfaction for all who have dealings with the OGD department.

  • Exercise judgment and assess risk when dealing with communications into and out of the organization, identifying and alerting the General Director & CEO as appropriate when high risk topics and issues arise;

  • Generally, work to foster and develop effective working relationships;

  • Develop policies and procedures in own work function with an impact on the wider organization, as required.

  • Additional duties as assigned.

 

Qualifications

Bachelor's degree and three to five years of progressively more responsible experience in administrative roles including work that requires managing multiple priorities for different constituencies, meeting deadlines, and comprehensive meeting planning, or 5+ years of such experience required. Previous governance experience strongly preferred.  Demonstrated ability to organize large-scale, detailed projects. Excellent and demonstrated writing skills. Computer literacy in Word, Excel, and PowerPoint, with some experience in database management. Must be available for some evening and weekend work.

 

Other Skills and Abilities

This position requires excellent interpersonal, verbal, and written communication and listening skills-maintaining confidentiality. Familiarity with opera is a plus but optional. An active curiosity and willingness to learn is a plus.
